The Accounting Associate position resides in the Accounting and Finance Department and is responsible for multiple general accounting tasks necessary to process corporate transactions, keep company books, and control company assets.
Scope and Impact
Accounting Associate supports employees and departments through data collection, processing, and review for procurement and payment of people, supplies and assets. S/he prepares various levels of financial and accounting information (including confidential information) that is reported to internal and external users.
Route, obtain approvals for, and input invoices into the accounting systems (QAD).
Ensure that invoices have supporting documents and authorizations, and resolve discrepancies.
Perform weekly check runs and transfer information to appropriate system.
Track and log physician payment activities relating to reporting under the Sunshine Provision.
Process purchase orders with vendors.
Work with Receiving Department to resolve discrepancies with vendor on orders and place back orders if necessary.
TRAVEL & ENTERTAINMENT
Review expense reports in accordance with company policy and audit as needed.
Reconcile corporate credit bills and process in a timely manner.
Process payment of expense reports, including use of systems (i.e. Concur).
Perform initial collection calls on past due accounts.
Assist with month-end close.
Assist with quarterly financial/internal control review from external auditors (i.e. gather documents and clarify information).
Supports Finance department's needs relating to maintaining and destroying documents, including maintaining confidentiality requirements.
Minimum of two (2) years in a general accounting position in a medium-sized corporate environment.
Bachelor's Degree desirable, but not required.
Physical Demands/Work Environment
Work is in standard office, cubicle environment with some noise and distraction.
Extensive use of computer and keyboard required.
Requires the ability to focus on multiple tasks simultaneously, working in fast-paced, unstructured environment.
