Admin/Executive Assistant OpsCode
THIS JOB HAS EXPIRED Job Summary:
The Admin/Exec Assistant must be happy in handling a very wide range of administrative and executive support tasks and will be able to work independently with little or no supervision. This person must support much of Chef?s executive team, each member of which may require different levels of support, while remaining willing to do administrative support throughout the office. This position reports to the CFO.
Arranges travel or assists with travel logistics for any employees traveling to or for Chef.
Manages calendars, schedules and organizes complex meetings for some members of the Executive Team
Assists CFO and CEO in maintaining Board of Director?s calendar and will occasionally assist in preparation and distribution of Board materials
Answers the incoming phone for Chef as the most frequent first-point of contact. Takes messages and/or fields questions.
Assists with mailings/shipping for the office.
Runs necessary errands for the office or executives.
Assists VP of Legal in general contract management and compliance including, without limitation, closing out contracts and logging exceptions, using technology to increase efficiency of contract flow, managing templates, and running compliance reports
Maintains general cleanliness of office as necessary during the day, especially meeting spaces and kitchen.
Stocks complimentary food and beverages provided to all employees.
Orders snack food and office supplies.
Maintains the Chef Community Contributor databases, including thanking new contributors.
May independently respond to one-off employee requests for assistance.
Completes expense reporting for executives monthly.
Works independently and within a team on special, nonrecurring, and/or ongoing projects. These may include collecting and/or disseminating information for executives and organizing company-wide events.
High school diploma or GED, Associate?s degree or bachelor?s preferred.
3+ years experience in administrative support, some executive support preferred.
Demonstrated positive, collaborative approach to work, including a commitment to client-service, problem solving, and process improvement
Must be a self-starter, and possess the ability to work at a fast, efficient pace while handling projects simultaneously
Ability to exercise judgment and maintain confidentiality
Must be able to lift and carry about 20-30 pounds for brief periods (moving office and kitchen supplies around)
Comfort with working with an Apple computer preferred, including at least midlevel keyboarding skill (40 wpm, with high accuracy) and experience with calendaring software
Preferred: significant experience in travel coordination, including internationally
Preferred: experience in complex schedule management
Preferred: experience in event planning, including catering and use of off-site venues.
