This position will provide administrative support and expertise to the SVP and VP-Service Delivery as well as one or two other key Operational Team members in the Austin, TX office. The environment is fast-paced, energetic, and customer focused! The successful candidate will have a collaborative, friendly and flexible work style, be exceptionally well-organized, able to effectively multi-task/prioritize, manage projects, and have strong written and verbal communication skills. This individual plays a critical role within the department, company and the larger executive staff team.
Your responsibilities will include but are not limited to:
Use initiative, independent and sound judgment, tact and diplomacy with sensitive, complex and highly confidential business matters both inside and outside of the company. Must be able to handle all issues with discretion and professionalism.
Schedule and maintain high-volume senior manager calendars and coordinate efficient travel arrangements. Coordinate related arrangements in compliance with company policies and guidelines.
Coordinate group meetings involving senior management; assure that meetings are scheduled with all parties, meeting rooms and call-in numbers are booked, special meeting requests (refreshments, PC projector, etc.) are arranged, meeting confirmations are sent out, reports and other meeting materials are prepared and distributed.
Process travel and entertainment expenses for senior management, using electronic systems.
Manage daily/weekly collection and compilation of business data to be used for presentations using MS Excel, Word and PowerPoint tools.
Create and track department purchase requests through standard procurement process.
Prepare and maintain departmental organizational charts in coordination with Human Resources.
Respond to questions from employees; communicate positively and effectively with internal and external customers.
Provide front desk reception and phone support as necessary during Office Mgr breaks, etc.
Provide miscellaneous support to senior management as needed, including project coordination, set-up and maintenance of mail groups, preparation of materials and fax administration.
Carry out administrative duties of a highly responsible and confidential nature.
Carry out other responsibilities and special projects as assigned.
This position requires the following skills and experience:
Bachelor?s degree in a business or technical area or equivalent relevant management experience with project implementation.
Must be a high-energy, focused project manager, comfortable working in a fast-paced environment with a strong attention to timelines and due dates.
Must possess excellent communication and interpersonal skills with demonstrated ability to interact with business executives as well as end-users.
Experience supporting multiple executives and managing priorities.
Ability to analyze complex problems, interpret operational needs, and develop integrated, creative solutions.
Ability to multi task and have attention to detail.
Excellent written and verbal communication skills.
Demonstrated strong MS Office PowerPoint, Word and Excel capabilities required. Advanced MS Outlook skills required.
