Responsible for providing high-level administrative support to members of Talyst?s senior leadership team using extreme discretion and attention to detail. Support facility and other general office administrative needs on a regular basis.
Manage and maintain CEO schedule, including all calendar meetings, travel details, conference calls and maintain all important contacts.
Prepare agendas and make arrangements for meetings, including company meetings, board meetings and executive off-site meetings.
Welcome and attend to visitors, meet with individuals, special interest groups, and others on behalf of executives.
Assist in the preparation and initial review of expense report processing for senior leadership.
Serve as a liaison to other departments to ensure C level awareness of office happenings.
Coordinate visitor travel and make arrangements accordingly. Create and maintain visitor information packet to include office directions, recommended hotels and restaurants, airport transportation, and suggested activities for local area.
Regularly reconcile CEO expenses and ensure timely submission of expense reports.
Proactively manage department information including vacation schedules, corporate office visits, birthdays, phone numbers, and on a daily and weekly basis.
Occasionally attend meetings to record minutes; and compile, transcribe, and post/distribute minutes of meetings as necessary.
Have a high-level working knowledge of administrative and operating policies and procedures for employees.
Assist with weekly and monthly communication preparations in the form of emails and letters.
Attend to data and note entry into Talyst?s CRM following CEO meetings with Talyst customers.
Conduct research, compile data, and prepare data for consideration and presentation by executives and groups.
Serve as a back-up for sales operations and contract processing.
Manage the creation, routing and filing of controlled documents (physical routing plus tracking via software) such as internal and external correspondences.
Partner with the Director of Employee Services in matters of employee relations, morale events and general office safety.
Protect the confidentiality of sensitive and/or proprietary company information.
Oversee the regular ordering of office supplies and supply room stock. Help support remote offices with their general facility needs.
Support and promote the Talyst values through positive interactions with both internal and external stakeholders on a regular basis.
Attend to other initiatives and goals as assigned.
4+ years experience in an administrative/office support role; support to C-level executives a plus.
Experience supporting sales and Finance teams a major plus.
Strong background in scheduling travel and coordination of meetings, conferences, webinars, etc.
Experience supporting a legal executive or regular interactions with a legal department preferred.
Proficiency with MS Office suite, especially PPT, Excel , Word, Outlook and Visio.
Organizational expertise when it comes to managing files and records.
Excellent verbal, written, grammatical and interpersonal skills.
Knowledge and principles and processes for providing customer and personal services, which includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
Knowledge of business and management principles involved in strategic planning, resource allocation, and coordination of people and resources.
Experience working in a goal oriented, delivery focused, and dynamic environment.
The job conditions for this position are in a standard office setting. Employees in this position use PC and phone on an on-going basis throughout the day.
