DescriptionPosition Summary:
The Administrative/Executive Assistant directly supports the Co-Chief Creative Officers and the Interactive Executive Producer. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. The Administrative/Executive Assistant is responsible for anticipating needs of the executives, communicating professionally, and functioning in a dynamic and changing environment while maintaining the utmost discretion with regard to proprietary and confidential information.
Essential Duties and Responsibilities:
?Manage and maintain schedules for the Co-Chief Creative Officers and the Interactive Executive Producer.
?Meeting preparation to include agendas, itineraries and preparatory materials, conference room and/or conference call set up.
?Organize and coordinate travel arrangements.
?Facilitate the creation and/or editing of documents as needed.
?Prepare, reconcile and ensure the processing of expense reports.
?Discover and initiate process improvements.
?Document management ? ability to organize and file documents for easy access when needed.
RequirementsQualifications:
?3+ years supporting at an Executive level and/or a group or department
?Ability to manage multiple calendars, including the coordination of complex executive meetings
?Demonstrates utmost attention to detail
?Must possess excellent organizational, problem-solving, and time management skills
?Ability to maintain strict confidentiality
?Organizational awareness: ability to interact with internal and external clients at all levels; demonstrates business savvy
?Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
?Must be able to work independently
?Ability to adapt to change and work well under pressure
?Self motivated with a high level of initiative and follow through
?Willing to be flexible with work schedule
?Must be deadline oriented
?Excellent phone skills
Education and Experience:
Some college coursework completed and a minimum of 3 years supporting top management and/or as an administrative assistant in a technology, digital or creative firm.
Computer Skills:
To perform this job successfully, an individual should have knowledge of:
?Advanced working knowledge of MS Word
?Advanced working knowledge of MS Excel, including the use of graphs and charts.
?Advanced working knowledge of MS PowerPoint
?Advanced working knowledge of MS Outlook
