Provides administrative support to two Department Heads and Departments, while fulfilling all general administrative duties.
(in order to be considered for this position, the individual must be able to perform essential functions listed below):
Coordinates schedules, manages executive calendars, organizes meetings and conference calls and helps executives manage their daily/weekly schedules
Makes travel arrangements and coordinates itineraries
Composes correspondence and prepares presentations, reports, spreadsheets, meeting minutes and other business information
Maintain contact database
Assists in managing expense accounts and budgets
Assist department members with timely completion and reconciliation of expense reports
Manages multiple projects and priorities and initiates follow up to ensure timely achievement of commitments
General administrative duties such as faxing, filing, copying, reception, etc.
All other duties as assigned
ADDITIONAL DUTIES AND RESPONSIBILITIES:
Anticipates needs and accomplishes responsibilities with little or no direction
Proactively seeks ways to relieve executive of administrative detail
Provides support to other AA?s and receptionist as necessary
4+ years related experience supporting Director and Executive level
Bachelor?s Degree strongly preferred
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
Effectively solves problems through initiative, resourcefulness, creativity and self-motivation
Manages time and multiple tasks simultaneously; establishes priorities to meet deadlines
Consistently energized and displays appropriate sense of urgency
Excellent organizational and administration skills
