Provides administrative support to the Commercial team, which includes staff who are onsite and remote. There will often be involvement and exposure to highly confidential materials and information, including patient information. Daily activities require knowledge of company operations, policies and procedures. Involves handling details of a highly confidential nature, and collecting and preparing information for department use.
Provides administrative support to Sr. Director-and Director level associates
Manages travel and administrative recruiting responsibilities for the Commercial Team including hotel and airfare arrangements for candidates and scheduling candidates across multiple calendars. Upon hire, this will include ensuring IT provisions are made and on-boarding activities are coordinated appropriately with HR and other functions.
Manages complex, global calendars; schedules meetings, makes travel arrangements and manages expense reporting to senior level executives in the team
Ability to multi-task
Accountable for meeting planning and organization (schedule attendees, books conference rooms, arrange catering, prepares presentations, meeting materials, handouts, etc).
Responsible for copying, faxing, and developing and maintaining filing systems; hard copy and/or electronic
Proactively responds to questions, concerns, and requests for information and resolves routine questions and information requests
Manages the administrative priorities of the team, solves conflicting priorities
Plays key role in liaising with Executive Assistants and other members of Sr. Staff; serves as reciprocal back-up for other Senior Administrative Assistants and Executive Assistants as required
Ad hoc projects, as assigned, including involvement in arrangements for offsite meetings
Qualifications and Experience
Bachelor?s degree and six months experience required
Or 3-5+ years of administrative experience, preferably in a biopharmaceutical environment
Proficient knowledge of MS Outlook, Word, Excel & PowerPoint
Experience with expense reporting systems/ software preferred.
Strong interpersonal skills; position continually requires demonstrated poise, tact, and diplomacy
Must be able to interact and communicate effectively with individuals at all levels of the organization
Confident, self-starter who can work well with minimal supervision
Requires strong attention to detail in composing and proofing materials, establishing priorities, scheduling and meeting deadlines
Must be able to work in a fast paced environment with demonstrated ability to simultaneously manage multiple competing tasks and demands.
Problem solver who is quick to figure solutions and make things happen.
Must be able to handle confidential information and issues effectively and without breach of confidentiality.
Displays flexibility in time management to get the job done.
