As an Administrative Assistant you?ll be the hub of our Chicago office -- responsible for being the front desk contact as well as all facets of the office environment. We?ll rely on you to provide administrative and project support to our Executives (CEO, President and VP of Finance & Accounting) in our six-person, loft-like office. This role is a fantastic opportunity for a person with a can-do attitude. It is perfect for someone who wants to gain insight into the sports industry while also gaining practical experience in office management.
General reception duties; greet visitors and answer incoming telephone calls at our front desk. Take messages, direct traffic and field/answer all routine and non-routine questions.
Handle administrative functions, including scheduling meetings, organizing executive off-sites and communicating with the California office
Manage some marketing functions, including managing website updates and coordinating PR activities.
Assist Executive staff with their calendar, expenses, travel and other administrative tasks as needed.
Plan and organize all office visits, luncheons, and office outings and functions.
Act as liaison for HR/Payroll to generate reports and ensure employees are following procedures for our on-line time reporting system.
Maintain office environment and common areas and serve as the main contact with the property management company to resolve any issues.
Handle correspondence, contract administration, and electronic and paper filing.
Order and maintain office supplies and all office equipment.
Strong attention to detail, planning and organizational skills necessary; able to juggle multiple priorities with strong follow-through skills.
Minimum of 3 years? experience working in an office environment in a role supporting multiple people.
Experience in production, travel, scheduling, or planning.
Exceptional computer skills and must be clearly internet savvy (Word, Excel, Adobe Acrobat, PowerPoint and Outlook).
Excellent problem solving skills, written and verbal communication skills required.
Self-starter; able to work with little supervision and proactively identify additional areas of contribution.
Must have outstanding interpersonal/communication skills. This position is based on the North side of Chicago in the Ravenswood neighborhood ? convenient to both ?L? and Metra train stops.
