Description:The EPC Administrative Assistant is responsible for providing administrative support to various components of the engineering and construction team including the Senior Administrative Assistant, Executive VP Engineering and Construction, Project Managers, Superintendents, Estimators, and Sales Personnel to efficiently, successfully, and profitably complete EPC projects and support the administration of related business functions.

? Required to use computer keyboard, mouse and monitor for long periods of time
? Ability to lift up to 35 pounds on occasion
? Phone use (cradle and headset usage)
? Ability and willingness to travel on occasion
Duties:? Assume responsibility for administrative duties with minimum supervision.
? Scheduling and coordinating project meetings. Maintaining attendance logs and preparing project meeting minutes.
? Assists in preparation, organization, and document gathering in relation to commercial requests for proposals (RFPs).
? Manage project documentation: file creation, tracking, maintenance, and close-out.
? Assist in the preparation and distribution of reports and manage matrix compilation for commercial projects.
? Monitor project vendors and subcontractors contact directory and documentation.
? Assist in management of commercial construction documentation and ensures proper approvals/signatures.
? Office and business administration functions. Handle incoming telephone calls promptly, with consideration, courtesy, and discretion.
? Screen, sort, and distribute incoming mail to appropriate personnel. Provide background material to facilitate action requested in the correspondence.
? Support project managers and superintendents working at remote job sites.
? Perform other administrative duties as may be assigned.
? Proficiency in MS Office environment, including Word, Excel, Outlook, PowerPoint and calendaring
? Effective utilization of the internet as a research and information resource
? Excellent time management and organizational skills
? Understands engineering and construction language and is able to communicate effectively within the engineering and construction environment
? Ability to adapt easily and accept changing situations
? Excellent verbal and written communication skills
? Ability to work independently as well as within a team environment
? Ability to take direction from multiple people
? Ability to support multiple people within the department
? Ability to maintain confidential information
? Ability to multi-task and prioritize
? College degree preferred
? Minimum of 5 years experience in the engineering and/or construction industry with similar responsibilities
? Minimum of 5 years of office administration experience
