We're looking for an amazing and passionate Administrative Assistant to join our team in NYC.
You love organization, planning and keeping track of an insanely hectic schedule. You can perform basic administrative tasks with ease, but you really love the challenge of completing the unexpected, "Quirky" assignments that are sure to pop up. You can keep a hard working, busy executive on time and in the right place. You are structured, but are not too rigid and can be flexible and fun. You can anticipate pitfalls and maneuver to avoid them. You could be a great 'face/voice of the company' to our community and outside constituents, showing that Quirky is just downright awesome. You are looking for more than just a desk job; you want to be a part of something.
As our Administrative Assistant you will
Work directly with Quirky's Executive office to schedule, plan, execute and ensure the office is running as smoothly as possible.
Manage tasks that encompass administrative duties, but also go far beyond the 'basic' office responsibilities
Work and collaborate closely with Melany and additional members of the office & administrative team
Maintain a demanding, ever changing executive calendar and work with other members of the leadership team to coordinate meetings and events
Assist with logistics for Board of Directors meetings and other high level external meetings
Be able to coordinate travel plans, itineraries and prep; both domestically and internationally
Reconcile expense reports and corporate invoices
Respond and manage executive correspondence
Greet guests and visitors of the executive office and be an enthusiastic, brilliant ambassador to Quirky & its executive office
2+ years of experience supporting or assisting a senior level executive.
Managing & planning for Board of Directors meetings is a plus but not required.
Ability to be proactive, plan ahead and execute without hand holding
College degree or a really great dropout story
Excellent written ,verbal, phone and email skills are a must
High degree of discretion dealing with confidential information
Unrelenting intellectual curiosity and pride in doing awesome work
Action and detail oriented
