?Greet, announce, and direct guests and visitors as necessary.
?Answer, screen, and redirect incoming calls/faxes; take messages as needed.
?Coordinate incoming and outgoing mail. Sort and distribute department mail; retrieve mailings and documents from other departments as needed
?Display Tax ID?s and Business Licenses
?Ensure common areas are kept clean and professional
?General office administration and communications
?Distribute Service Star Awards and Plaques
?Manage, develop, update, post Evacuation Plan, Severe Weather Plan, and Crisis Market Communication
?Update and maintain site information webpage
?Office alarm management
?Provide general support for tradeshows and events
?Coordinate visitor/guest office accommodations
?Assist with onboarding new employees (pictures for ID, online directory, security badges, phone set up, business card requests, and update site org chart), as requested
?Cube and furniture management. Coordinate seating assignments, moves, and furniture requests
?Maintain AED units and postage machines
?Order toner, coffee, office, and kitchen supplies as necessary
?Point of contact for all vendors (copier, fax, printer, office security, maintenance issues, and vending machines)
?Point of contact for office security and maintenance issues
?Manage all office purchases, vendor payments, and memberships
?Track office invoices/expenses and create RFC?s for payment
?Create travel itineraries including Airfare, Hotel, Ground Transportation and special accommodations using AXIOM or other software as necessary
?Review expense reports for appropriate documentation and approvals. Code to the appropriate GL and send to A/P for reimbursement, as requested.
?Perform other related duties or projects as assigned
?Ad Hoc projects for various departments as necessary
High school diploma or the equivalent in training and experience. Demonstrated (2-4 years) administrative experience indicating knowledge of office procedures and office equipment. Effective verbal and written communication skills. Demonstrated understanding of personal computers, including word processing, Power Point presentations, spreadsheet and database. Experience answering a multi-line telephone system. Detail orientation skills, ability to manage multiple priorities and ability to meet inflexible deadlines.
