We are seeking an experienced Administrative Assistant to join our team.

Location: Oakland, CA
This position requires a person who can prepare and handle sensitive and confidential information with maximum discretion and diplomacy. Position also requires a person with considerable initiative, independent judgment, ability to manage multiple priorities and a highly developed customer service orientation.
Desired skills and experience:
5 years of administrative support in complex and highly dynamic organizations;
2 years of experience supporting a senior level executive in a large corporation preferred;
Thorough knowledge of administrative procedures; strong verbal communications skills; excellent grammar, and other business English and written/composition skills required;
Must have great attention to detail and unquestioned capability to maintain confidentiality;
Strong working knowledge of Microsoft Office Suite;
Comfortable taking on new challenges with limited supervision;
Demonstrated ability to manage multiple and sometimes conflicting due dates;
Flexible, with a strong ability to deal with ambiguity;
Exceptional customer services skills with a diverse populations;
Able to work within tight deadlines and under pressure;
Knowledge or background in Corporate Communications is preferred.
Essential Duties and Responsibilities
Manage access to SVP by screening calls and visitors to determine appropriate course of action. Serves as a liaison, with delegated authority, between SVP and subordinate units by relaying instructions and information and following commitments through to completion. Interact and communicate with a strong degree of judgment and discretion.
Identify and resolve problems that would not require SVP?s direct involvement. Address problems in accordance with priorities, policies, commitments, and program goals. Researches and makes recommendations for unusual and novel situations.
Maintain calendars and schedule appointments without prior approval based on knowledge of SVP?s responsibilities and issues of importance.
Assist in organizing government affairs activities, including planning and tracking events and activities, managing correspondence, maintaining regular reporting functions, including quarterly lobbying reports.
Locate and assemble information for various reports, briefings, and conferences.
Develop and draft letters, memos, or reports to communicate the decisions, ideas, and agenda for team.
Manage and monitor a variety of information impacting team as needed.
Research information to support conclusions and recommendations of the SVP and team. Establish and maintain paper and electronic files and records for the SVP and team to ensure immediately retrieval of information when required.
Monitor and reconcile departmental or program budget and track travel and office expenditures.
Initiates and tracks departmental Purchase Requisitions and Purchase Orders through Oracle system. Tracks invoices for approval by SVP.
Make complex travel arrangements. Manage travel documentation for SVP and team members as needed.
Work closely with Marketing and Government Affairs team to organize companywide and public communications, including meeting minutes.
Assist with the upkeep of BrightSource?s database of contacts.
Assist Corporate Marketing and Government Affairs team with calendar items, administrative and organizational functions, and other duties as assigned.
Minimal travel to locations as required.
May support other executives as needed.
Perform other duties as may be determined from time to time.
