The Administrative Assistant to CEO delivers support to the CEO, Executive Assistant & Project Manager to CEO, and company by completing many administrative tasks that occur on a daily basis, always providing superior customer service for our clients and MINDBODY team members.
GENERAL DUTIES AND RESPONSIBILITIES:
This is a representative list of the general duties the position may be asked to perform and is not intended to be all-inclusive.
Assist Executive Assistant with and eventually become responsible for coordinating, maintaining and troubleshooting CEO?s email, appointments, travel and complex calendar of meetings and events.
Prioritize and facilitate communication between the CEO, Executive Assistant/Project Manager and key clients, business partners and team members.
General clerical duties including answering telephones, scanning, photocopying, fax and mailing.
Provide exemplary customer service. Seek to exceed expectations of internal and external customers.
Anticipate business needs and collect/prepare necessary information to aide in EA?s and CEO?s various duties.
Schedule and coordination of meetings, appointments and travel arrangements.
Open, sort and distribute incoming correspondence.
Support staff in assigned project based work.
Maintain electronic and hard copy filing system.
Handle requests for information and data.
Resolve administrative problems and inquiries.
Prepare written responses to routine enquiries.
Prepare and modify documents including correspondence, reports, drafts, memos and emails.
Occasionally assist CEO with personal errands and appointments.
Special projects as assigned.
MINIMUM ATTRIBUTES, QUALIFICATIONS AND REQUIREMENTS:
The incumbent must have proficient knowledge and experience in the following areas:
Associates degree in relevant field. Additional professional experience may be substituted for academic degree.
Minimum of four years experience in administrative field. Ideal candidate will have minimum two years experience supporting CEO or other high level executive.
Intermediate to advanced skills with MS Office, technology and internet.
Excellent communication skills, including both verbal and written.
Strong professionalism and an energetic positive attitude.
Demonstrated ability to handle sensitive and confidential situations with tact and diplomacy, maintaining the highest confidentiality and professionalism on all matters.
Driven self-starter, with a proactive approach to work.
Ability to interact with staff and clients in a fast paced environment, sometimes under pressure, while remaining flexible, patient, and efficient.
Flexibility to work hours outside of a standard workday; sometimes with very short notice.
Able to manage multiple projects simultaneously.
Ability to work with minimal supervision.
