About the Job
Nexant is seeking an Administrative Assistant (Project Administration) with a strong background in project administration to join our Portland, OR team. The successful candidate will be responsible for providing local utility Demand Side Management (DSM) program and project support and administrative services.
We are currently seeking a professional, detail-oriented full-time individual with great communication skills to support the Demand Management staff in our Portland, OR office.
The successful candidate will be responsible for supporting programs for commercial, industrial, and utility clients. Our clients include investor-owned utilities administering ratepayer-funded energy efficiency programs, energy end users, and energy service companies. Specific responsibilities will include: providing customer and program management support, program tracking and reporting, quality assurance and quality control of written deliverables, and other related tasks.
The Administrative Assistant (Project Administration) is an instrumental part of the delivery and success of these programs. We are looking for an exceptional person who enjoys working in a challenging and innovative environment. Candidates should be able to demonstrate previous relevant experience and success at managing multiple projects/programs, budgets, deliverables, and client relations.
Successful candidates must be reliable and punctual, have excellent oral and written skills, demonstrate initiative and follow through, and ability to work with multiple staff on numerous tasks.
Duties and Responsibilities
Project/Contract Administrative Support - Provide general administrative support to Project Manager in the administration of local client contract:
o Assist with project set up, including web-filing upon completion
o Assist with project submittals by performing QA/QC reviews on reports submitted to client and working with project engineering personnel to assure high quality deliverables
o Manage project tracking efforts by working with project manager to schedule and plan resource allocation
o Update and help manage client monthly reports
o Review and understand requirements stated in contracts
o Reconcile reports generated for contracts and invoicing; facilitate procurement, review, and approval of monthly invoices
o Maintain electronic and paper filing system
o Create, develop and maintain Microsoft Excel spreadsheets
o Communicate with all levels of internal staff, consultants, and clients
Office Administrative Support - Provide general administrative support for the office:
o Coordinate the administrative needs of office and as required. This may include:
o Establish office systems and procedures in conjunction with corporate policies and local project requirements
o Support project managers by coordinating with internal legal department as needed to support new contract setup and execution;
o Support project managers by coordinating with internal finance and accounting departments as needed to assist with accounts payable and invoicing;
1 to 5 years? experience working in an Administrative Assistant, Office Manager, or Project Administrator position;
2 or 4-year degree or equivalent work related experience;
Working knowledge of MS Word, Excel, and Power Point;
Excellent ability to communicate with all levels of internal staff, as well as outside vendors, consultants and clients;
Superior organizational skills, the ability to maintain confidentiality on issues as required, the ability to prioritize and deal with a multitude of varied objectives and duties, and the ability to effectively interpret and communicate corporate policies to others.
Superior time management and organizational capabilities, including the ability to deliver on deadlines.
Exceptional interpersonal and organizational skills.
