This individual will provide administrative support for the CEO and other senior executives. Assists in designated administrative details using initiative and judgment. Demonstrates knowledge of company policy, organization, and a high level of technical skill. Exhibits high level of professionalism and discretion on a consistent basis.
Duties and Responsibilities:
Provide administrative support to CEO and other senior executives (heavy calendaring/scheduling of internal and customer meetings, heavy travel booking, expense submissions, org charts, etc.).
Travel and expense system Administrator (Concur): Responsible for user profile set up. Train and monitor all new Concur users. Go-to person for all expense-related issues.
Arrange corporate travel, accommodations and transportation. Process subsequent expense reports.
Organize meetings and meeting logistics.
Monitor vacations, schedules and calendars.
Schedule meetings and coordinate meeting refreshments / lunch, etc.
Own miscellaneous office needs: phone lists, floor plans, business cards, incoming mail, security access, etc.
Point person for all communications with building management, including HVAC, cleaning, repairs, building keycard access issues (including 6-monthly covered parking coordination) and employee requests about facilities.
Serve as a liaison with other departments and operating units in the resolution of day-to-day administrative and operational activities and issues
Interact with and establish networking relationships with outside customers/vendors, senior executives and guests in a professional manner
Prepare memoranda, reports and other materials for staff and business meetings. May attend staff meetings; take and distribute minutes, follow up on action items
Prepare and send UPS shipments (20 lbs and under) and USPS shipments for staff
Minimum Job Qualifications:
Strong time organizational, planning and management skills
Exceptional communication, analytical, problem solving, organizational and interpersonal skills
Ability to work well with all levels of internal management and staff, as well as outside clients and vendors
Good judgment and decision making skills
A genuine interest in serving and caring for other people with a proven ability to anticipate needs
Exceptional follow-through skills
Absolute discretion when dealing with confidential matters
Accuracy and meticulous attention to detail
Must be capable of working with a team, as well as with a great deal of autonomy.
5-7+ years experience; demonstrated experience supporting an executive in a fast-paced, constantly changing environment
Excellent computer skills ? Office 2010 (Outlook, Excel, Word, PowerPoint)
Experience in a start-up environment
Experience with executive level communications
Experience with Concur/Cliqbook (for travel and expense processing)
Experience with Microsoft Dynamics CRM
