Job Description
Objective: This position serves as the first point of contact for visitors to PBI and will be responsible for welcoming and directing visitors in person and over the telephone. Performs administrative duties which will support the efficient operation of the all departments within PBI where required. Provides high level administrative support to the company president. Will also assist with clerical functions in accounting. Supports a positive, fun work environment through event planning, hospitality, and managing employee perks.
Essential Duties (Prioritized):
Provides daily front desk administration, including answering the telephone and welcoming visitors.
Completes various clerical tasks and provides general administrative support to all departments as assigned.
Coordinates hospitality functions for the company. This includes conference room scheduling, coordination of company events, lunches, parties, arranging guest travel, hotel accommodations, rental cars, restaurant reservations, etc.
Provides high level administrative support to the company president which may include special projects, preparing presentations, etc.
Supports the Accounting Department by preparing checks and bank deposits, filing documents, contacting vendors, and tracking labor hours.
Manages the company website.
Manages employee perks such as dry cleaning, car washes, discount programs, etc.
Maintains and stocks office supplies.
Distributes daily mail.
Understands and complies with ethical, legal and regulatory requirements applicable to our business.
Mandatory Qualifications:
Excellent communication skills, both written and verbal. This position requires a great deal of interaction with a variety of people within the company as well as with customers.
Excellent computer skills including experience with Miscrosoft Office programs, with focus on Excel and Outlook.
Highly organized, attention to detail and follow-up. Ability to organize, prioritize, and accomplish multiple projects.
Cooperative and friendly. Able to accept work from a variety of people and maintain a positive and motivated attitude.
This position requires a professional manner in meeting the needs of both internal and external customers.
Maintains confidentiality.
Must have the ability to handle frequent interruptions and telephone calls and return with full focus to the task at hand.
Demonstrated ability to work independently with moderate supervision and with other team members in a cooperative, professional manner.
Ability to make decisions as well as exercise regular judgment and discretion in daily administrative tasks.
Uses multi-function telephone with ease and efficiency.
High school diploma or GED.
Preferred Qualifications: Preference will be given to applicants who possess these additional qualifications:
Some experience in an administrative position
Experience working with Microsoft SharePoint
General understanding of finance and accounting functions
Associates or Bachelor?s Degree
Physical Requirements:
Ability to frequently and accurately communicate verbally with customers via the telephone.
Ability to work with computer equipment frequently, along with operation of office copiers, facsimile, and other office equipment.
Occasionally move objects ranging in weight of up to 30 pounds.
Work Environment:
The primary work areas are the administrative offices.
Judgment:
Accuracy and attention to detail are important in this position.
