Description
The successful candidate will be responsible for managing a database of critical corporate documents, assist in the coordination and preparation of SEC filings and other corporate governance matters and provide administrative support to Fluidigm?s Legal Department. He/she must be strongly detail-oriented and organized with outstanding interpersonal skills and judgment. This position is based at Fluidigm?s South San Francisco Headquarters.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Manage and update database of critical corporate documents
Assist with preparation and filing of SEC documents
Assist with matters relating to annual meeting of stockholders including coordination with transfer agent, printer, mailing agent, website providers and other parties
Assist in the management of the company?s publications clearance process
Assist with preparation, review and management of nondisclosure agreements
Coordinate posting of key policies on company?s intranet and website
Assist with management of records relating to employee stock options and corporate minute books
Draft correspondence, memoranda and reports
Handle numerical-data projects
Manage calendars, coordinate meetings and conferences and assist with preparation of materials for the same; coordinate department lunches and prepare/update agendas
Handle and coordinate complex travel arrangements
Reconcile bills and prepare expense reports
Set up, maintain and organize files
Review, organize and prioritize incoming correspondence and other department documents; coordinate courier services and handle outgoing mail
Provide general administrative support to multiple members of the Legal Department
EDUCATION/EXPERIENCE/SKILLS:
Education and Experience:
College degree highly preferred but AA degree and related experience may be substituted
4-6 years experience required; experience in a law firm or legal department is a plus
Knowledge/Skills/Abilities:
Exceptional attention to detail, organizational skills and judgment
Ability to effectively handle multiple tasks in a fast-paced environment
Ability to handle projects with minimal direction and supervision
Ability to work independently and as a team player
High-level of discretion and sensitivity to maintaining confidentiality of proprietary information
Careful time management and ability to manage conflicting priorities
Strong communication and interpersonal skills
Proficient in Word and PowerPoint
Excel skills that enable effective organization and presentation of data
Ability to provide effective administrative support to multiple members of the Legal Department
Working knowledge of relevant scientific, biotech and high tech terminology is a plus
