This position will provide administrative support to the Fluidigm Corporate Marketing Team and will handle a variety of tasks for the Corporate Marketing functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Proactively ensure that the administrative needs of the person(s) being supported are met.
Use knowledge of the work of the department and specialized software (if required) to support marketing projects.
May be delegated smaller marketing department projects to completely own and execute upon.
Handle confidential correspondence.
Manage team?s meeting calendars.
Manage high-level travel arrangements and prepare expense reports.
Act on manager?s behalf with callers and electronic communication.
Has routine substantive contact with high-level staff (internal and external).
Compose and prepare letters, memos, reports, & other documents.
Manage Purchase Req/Purchase Order process for the marketing team including working with Finance, AP, AR, and associated work instructions and processes.
Provide host support for visiting guests.
Using input from manager, prepare department budgets.
Work on very complex administrative problems of diverse scope.
Determine methods and procedures on new assignments.
Schedule meetings, take notes, and provide notes to team members.
Education and Experience:
High School diploma and 6 years of experience or any combination of education and experience
Exceptional attention to detail and careful time managementStrong communication skills with direct customer contact expected
Proficient with Microsoft?s Office Suite
Experience with SalesForce.com preferred
Strong interpersonal skills and ability to work across several layers of staff
Proven ability to multi-task, drive tasks to completion, and close loop with team members on multi-personnel projects.
