Job Description :
Position Overview: Working under the supervision of the Office Admin Lead, the full?time Administrative Assistant handles office procedures and other tasks as assigned by the Office Admin Lead and/or other members of the ND management team.
JOB / DUTIES / RESPONSIBILITIES
Assists office lead with general office coordination.
Maintain office calendar to coordinate work flow and meetings.
Maintain confidentiality in all aspects of company and staff information.
Monitor and assist with maintenance of the organization?s website, as requested.
Interact with clients, vendors and visitors.
Answer telephones and transfer to appropriate staff member.
Open, sort and distribute incoming correspondence, including faxes and email, as required.
Sign for and distribute UPS/FedEx or similarly delivered packages.
Prepare responses to correspondence containing routine inquiries.
Perform general clerical duties to include, but not limited to, bookkeeping, copying, faxing, mailing and filing.
File and retrieve organizational documents, records and reports, as required.
Assist office admin lead with record-keeping for staff, office space, telephones, parking, company debit card and office keys, etc.
Create and modify documents such as reports, memos, and letters using word processing, spreadsheet, database and/or other presentationsoftware (Microsoft Office-based).
Set up and coordinate meetings and conferences, as requested
Prepare agendas and make arrangements for meetings.
Interact with the organization?s senior management.
Make travel arrangements, as requested on occasion.
May assist with planning, coordinating and running special events.
JOB QUALIFICATIONS
Requirements
Knowledge / Education
Associates degree or equivalent work experience required.
Minimum Qualifications:
Job Experience
At least two (2) years experience in general office responsibilities and procedures.
Skills / Competencies
Must be PC proficient and have an aptitude for working with a variety of computer systems/applications (MS Word, Excel, Powerpoint).
A strong service orientation with attention to detail and follow through necessary.
Incumbent must be able to work with confidential information and must consistently exercise good judgment in dealing with a variety of situations and issues.
Strong interpersonal skills and the ability to work independently yet within a team environment required.
Must be self-directed and take initiative.
Good writing, analytical and problem?solving skills.
Ability to communicate effectively.
Ability to operate standard office equipment, including but not limited to, computers, telephone systems, typewriters, calculators, copiers and facsimile machines.
Ability to follow oral and written instructions.
Physical Requirements
Requires sitting and standing associated with a normal office environment.
Manual dexterity needed for using a calculator and computer keyboard.
Lightweight lifting may be required
