Nexant, Inc. is seeking an Administrative Coordinator I with a strong background in project administration to join our Wheaton, IL team. The successful candidate will be responsible for providing local utility Demand Side Management (DSM) program and project support and administrative services.
The successful candidate will be responsible for supporting programs for commercial, industrial, and utility clients. Our clients include investor-owned utilities administering ratepayer-funded energy efficiency programs, energy end users, and energy service companies. Specific responsibilities will include: providing customer and program management support, program tracking and reporting, and other related tasks.
The Administrative Coordinator I is an instrumental part of the delivery and success of these programs. We are looking for an exceptional person who enjoys working in a challenging and innovative environment. Candidates should be able to demonstrate previous relevant experience and success at managing multiple projects/programs, budgets, deliverables, and client relations.
Duties and Responsibilities
Provide customer support and program management support for utility DSM programs managed by Nexant's Demand Management Group in Wheaton, IL.
Support programs to ensure compliance with contracts, regulatory requirements, and operating budget.
Coordinate and produce weekly, monthly, and year-end financial reporting for external clients and internal finance/accounting teams.
Manage and coordinate subcontractor invoice reviews and client invoice development with internal program management staff.
Prepare subcontractor agreements for program management review and coordinate with internal Contracts Management team as necessary.
Assist with program application review and processing.
Manage file transfer system and turnaround times between internal engineering team and program subcontractors.
Update internal and external program tracking systems with weekly project updates.
Establish and maintain a professional client rapport, including identifying and anticipating client needs and proposing solutions.
Associates degree is required, BA/BS degree is preferable
A minimum of three years of work experience as an administrative assistant
A minimum of three years project/program administration experience is preferable
A minimum of one year in a role involving coordination with contractors is preferable
Preferably a minimum of two years of work experience in the energy efficiency industry
Proficiency in Microsoft Excel, PowerPoint, and Word is required
Superior time management and organizational capabilities, including the ability to deliver on deadlines and manage a high volume workload
Exceptional interpersonal and organizational skills
Exceptional oral and written communication skills.
