The Administrative Support Specialist position provides support to MINDBODY Clients by routing calls appropriately, booking appointments, and greeting visitors. In many ways, the Administrative Support team is the hub of MINDBODY, providing superior customer service for our clients and MINDBODY Teammates alike.
MINIMUM QUALIFICATIONS AND REQUIREMENTS:
To give each individual the necessary skills to accomplish this job successfully, MINDBODY will provide training within the Administrative Support department. Each individual will be tested on and must pass requirements for each of the below stated duties at a satisfactory level. In addition to training and testing, each individual must meet the following requirements prior to employment in Administrative Support.
Education and/or Experience:
High School Degree.
3-6 months of related customer service experience; or equivalent combination of education and experience.
Language Skills
Ability to read, and analyze customer questions.
Ability to effectively present information (oral and written) and respond to customer questions.
Computer Skills
Familiar with internet browsers.
Familiar with online chat tools and email.
Typing: 40-60 WPM.
GENERAL DUTIES AND RESPONSIBILITIES:
This is a representative list of the general duties the position may be asked to perform and is not intended to be all-inclusive.
Greets visitors when necessary as a backup to Administrative Coordinators, ensuring that each visitor is in compliance with MINDBODY Security Policies.
Answers incoming phone calls and directs to other departments appropriately, meeting our department?s established service level for answering incoming calls.
Books training appointments for our MINDBODY clients.
Calls clients within a specified time frame after the close of the sale, and assess the client?s satisfaction with MINDBODY customer service and ensures they have started training and/or implementation, as delegated by the Administrative Coordinator.
Follows up with International clients at an appropriate time to book training.
Assists in training new hires on Administrative Specialists? Duties and Responsibilities.
Works on special projects as assigned by the Administrative Support Supervisor.
MINIMUM ATTRIBUTES REQUIRED TO PERFORM THE ESSENTIAL FUNCTIONS OF THE POSITION:
Possesses a strong attention to detail
Extremely organized
Able to manage multiple projects simultaneously
Excellent computer skills
Ability, on a consistent basis, to perform work activities requiring cooperation, instruction, persuasion, or speaking with others
Ability, on a consistent basis, to function in a high stress environment, under substantial time pressure
Ability to work with minimal supervision
Ability to perform the General Duties and Responsibilities set forth above in a consistent and efficient manner

Punctual, regular and consistent attendance is required
PHYSICAL DEMANDS:
The physical demands are representative of an employee to successfully perform the essential functions of the job. While performing the duties of this job, the employee is regularly required to walk and sit at a desk, read and comprehend, reason and analyze, use fine finger movements, and see, talk and hear.
This is a Full Time position that starts at $10/hour.
