Job Description
Answer and direct all incoming calls in a prompt, courteous and friendly way, and ensure telephone messages are relayed accurately
Maintain a welcoming reception area and provide a helpful and efficient service to visitors and employees
Manage internal building system (Workspeed) to enter visitors, facilities and office inquires
Receive and sort all incoming and outgoing mail including parcels (Fed-ex, UPS, DHL)
Assist and coordinate with all staff on the booking of the conference rooms and telephone lines
Managing catering orders for visiting clients, training sessions, workshops and larger company events
Coordinate with travel assistant (locally and internationally) on flight and car arrangements
Manage inventory and coordinate with office assistant on all office stationary
Supervision of cleaning company, delivers
Perform general administrative duties to include but not limited to: copying, faxing, mailing, and filing
Assist the Executive Administrator with special projects
Manage the company storage facility account
Coordinate with Human Resources on orientation (building passes, desk space, and phones)
Required Skills
Excellent written and oral communication skills
Excellent ability to work independently and as a team.
Proficiency with Microsoft Office software.
High degree of discretion dealing with confidential information
Required Experience
Minimum four years administrative or office support experience.
Flexible to work shift hours with other administrators.
