About the Job
The following is a representative description of the position?s role and responsibilities. Reflecting the flexible nature of our work, Nexant will adjust this description as necessary to meet operating and strategic needs of its business.
Nexant is seeking an Analyst for the Business Management group in their Chandler, Arizona office. The Analyst will provide analytical and administrative support for a portfolio of assigned projects (and their Project Managers) to ensure back office financial operations are executed.
Duties and Responsibilities
Ensure that Project Managers retain understanding and responsibility for the execution and management of their projects. These duties include:
? Monitor status of executed contracts for your assigned offices and notify sales when agreement is fully executed
? Create and route PAWs for new projects, modifications to projects and staff changes to projects based in your assigned offices
? Read contracts and modifications and notify appropriate Nexant staff on relevant data security, SSAE16, SAS70 and records requirements
? Coordinate with business management and other operations administrative support on setting up file structures that comply with records and data security requirements
? OpenAir support, including resource identification and requests; review reports in support of monthly forecast reporting process
? Track Project costs and monitor performance against budget limitations;
? Prefunded incentive tracking. If projects require Nexant to pre-fund incentives; this position will work with F&A to provide monthly reporting of cash flows
? Subcontractor invoice tracking and accrual reporting ? ensure that all subs on assigned contracts submit timely and complete invoices and that they?re submitted to Accounts Payable in a timely fashion; in coordination with the project manager, create and send accrual reports to finance and accounting (F&A) each month for close
? Reconcile subcontractor accruals quarterly
? Review invoicing requirements with Project Accounting during project setup; provide initial review and approval of invoices and submit corrections as appropriate to F&A. Final review and approval of invoices by Project Managers is required.
? Review backlog monthly and work with Project Management to identify any changes needed in the system; Notify project accounting of changes (e.g. .end date changes or notification of project close out/unused backlog removal);
? Review unbilled monthly to ensure invoicing is on time; revenue recognition is appropriate and ensure that projects are closed out financially upon completion on a timely basis.
? Review A/R aging monthly; follow up with clients /projects where the invoices age beyond the norm for that project (typically 45 days) and provide updates to Business Operations Director and PMs.
? Performs other assignments as required
? Bachelor?s Degree or equivalent work-related, finance, administrative or contract management experience.
? 0-2 years of work experience
? Demonstrated strong proficiency with Microsoft Office programs including Word, Excel and Outlook.
? Other software experience desirable (Salesforce.com, CRM software, Cognos, Crystal Reports, etc.)
? Good oral and written communication skills
? Knowledge of grammatical rules, spelling, punctuation, and required formats
? Knowledge /understanding of how project finances work (invoicing, revenue, contract procedures, etc.)
? Excellent analytical, time management and interpersonal skills
? The ability to communicate with all levels of internal staff, as well as outside vendors, consultants and clients.
? Superior organizational skills, the ability to maintain confidentiality on issues as required, to prioritize and deal with a multitude of varied objectives and duties, as well as to effectively interpret and communicate corporate policies.
