Facilities Services Generalist is a dynamic, customer service role providing essential office functions. This position requires a highly motivated individual with strong communication skills and a great customer service attitude. This person will be responsible for performing a variety of tasks that consist of space planning, furniture management, food service and administrative tasks. This person will also assist the Facilities Manager with smaller scale projects. Willingness to take on new projects and learn new skills is a must.
This person will be repsonsible for the day-to day facilities services including but not limited to: daily walk thru's of all offices and public areas and carry out appropriate measures to fix any issues, manage small projects, day-to-day space planning, day-to-day furniture requests, food service and vendor management.
He/She will also be responsible for Administrative Duties including but not limited to: administrative tasks, office equipment assistance and support, liaison between departments and Facilities Management, create/document and maintain facilities procedures.
We are seeking someone with applicable degree (preferred), CAD experience (preferred) and a minimum of five years in a facilities role. The ideal candidate is detail oriented, well organized, comfortable communicating and working with Executive level, requires minimal supervision and is pro-active and self motivated with willingness to learn. The position requires that the candidate have the skills and experience to proficiently use Internet and Microsoft Office tools including MS Word, MS Excel, MS PowerPoint, MS Outlook, Spiceworks.
Tracks and analyzes business trends and makes appropriate improvement recommendations to ensure processes are optimized from an enterprise perspective.
Focuses on demonstrating knowledge of established facilities processes.
Understands the concepts, tools, and techniques for facilities and makes contributions to the facilities strategy, projects and over-arching process design to support the business.
Facilitate project and process discussions across multiple teams within Facilities
Drive consensus to gain approval for implementation
Develop and execute comprehensive project plans for small projects independantly
Design and develop complex project and operational reports and presentations
Own resolution of project strategy, process improvements implementation or execution discrepancies
Troubleshoot, identify potential root cause, and recommend corrective action of issues encountered in projects or on-going operations
Perform Value Stream Analysis as needed on assigned projects
Summarize progress on projects and any highlighted issues or obstacles and their resolution for weekly status report
Manages day-to-day vendor interaction.
Communicates effectively with vendors to identify needs and evaluate alternative cost saving business solutions.
Builds a knowledge base of each vendor's business, organization and objectives.
Support Facilities Manager as needed on high level space planning which may consist of working closely with Managers, Directors, and Executive level staff to ensure collaborating teams are placed within close proximity to ensure maximum productivity.
