The Commercial Coordinator (or Sr. Coordinator) will be a key contributor to the marketing and commercial organization. He or she will be expected to build effective working partnerships within the marketing department and across functional commercial departments within the company and across all vendor/agency partners. Specific responsibilities will vary based on needs of the brand and the organization, there are a number of core ongoing activities that he or she will be expected to manage. The Manager must be able to work, with some degree of ambiguity, as often the commercial Team is traveling for business.
Reports To: Vice President, Marketing and Marketing Operations
Budget Management Support: Manage the complete financial administrative process for the commercial Team from the purchase requisition process; the PO process; receiving billings; submitting for approval and payment. The development of a strong tracking and reporting system will be required.
Local meeting check request support management: ensure all check requests for local conventions/hospital meetings are received, reviewed and passed to finance for payment
General Administrative Support for the full Commercial Team as Required: including booking travel; expense report management; document development support; sales binder creation, fed ex and mail management; as well as other activities defined by the Commercial Team.
CDA/MSA/Contract Management: Track and renew the commercial Team?s business contracts. Monthly reports should be provided to the VPs of Marketing, Medical and Managed Care to see what contracts are expiring and which need to be renewed. Manage full renewal process directly with consultants and partners.
Quality Training Coordination: Access monthly reports to determine training needs that must be updated; send documents that need to be read and understood to all appropriate parties with copies of the document; the sign off form and expected due dates. Maintain quality training records to ensure Commercial Team is 100% up to date with training policies and procedures.
On-going traffic management of brand materials and warehousing marketing supplies: Ensure materials are approved through the commercial review process and ready for print. Work directly with agencies and warehousing partners to ensure print material are received in a timely fashion. Agency Partner and brand Team to understand when quantity limits are low so to order new materials; and ensure agencies know how to work with warehousing partners.
Commercial Material Management: ensure there are repositories where all materials are available for commercial Team to have access of only the most recent versions of the documents; ensure that on a monthly or quarterly basis or as needed in certain critical instances ensure the field force and home office Team knows the most recent rev versions of documents are available and what should be retired ? and manage sign off of field-based Team?s destruction of old materials.
Commercial Team MS Project Tracking Management: develop and maintain project tracker; update weekly based on brand timing changes or project changes.
Meeting Management / Logistics: As needed manage all logistics and planning for Commercial Team Meetings onsite and offsite, both internal and customer/consultant meetings, including advisory boards; POA meetings; and other meetings as required.
3-5 years experience in business where the Coordinator has supported several people in a variety of different function. A general understanding of project management and project tracking is required for the role. For a Sr. Coordinator, an additional 2-3 years marketing coordination or experience, or other pertinent related experience is required.

Ability to prioritize projects and when unsure of the priority be able to ask before timing is a risk
Strong written and verbal communications skills
Must be able to function well in a small but growing company, able to work in an environment with ambiguity and with minimal oversight day-to-day.
Highly experienced in working with the entire Microsoft suite of product (minimum: word, powerpoint, excel and ideally access)
Unquestionable work ethics and professional integrity
College degree (BA or BS) desired, or significant past experience support large teams to help an organization run smoothly.
