The Project Administrator is responsible for providing administrative support to various components of the Engineering, Procurement, and Construction (EPC) team including the Executive VP of Engineering and Construction, Project Managers, and Superintendents, to efficiently, successfully, and profitably complete EPC projects and support the administration of related business functions.
MAJOR DUTIES AND RESPONSIBILITIES:
Assume responsibility for project administrative duties with minimum supervision.
Scheduling and coordinating project meetings. Maintaining attendance logs and preparing project meeting minutes.
Effectively use project management and project accounting software on a daily basis.
Manage project documentation: file creation, tracking, maintenance, and close-out.
Assist in the preparation and distribution of reports and manage matrix compilation for commercial projects.
Manage documentation for project vendors and subcontractors and maintain project contact directory and documentation.
Assist in management of EPC project documentation and ensure proper approvals/signatures.
Office and business administration functions. Handle incoming telephone calls promptly, with consideration, courtesy, and discretion.
Screen, sort, and distribute incoming mail to appropriate personnel. Provide background material to facilitate action requested in the correspondence.
Support Project Managers and Site Superintendents working at remote job sites.
Work in cooperation and coordination with other Project Administrator(s) and Executive Assistant(s).
Perform other administrative duties as may be assigned.
Proficiency in MS Office environment, including Word, Excel, Outlook, PowerPoint, and calendaring
Ability to learn and use ComputerEase for project management and project accounting support
Effective utilization of the internet as a research and information resource
Excellent time management and organizational skills
Understands engineering and construction language and is able to communicate effectively within the engineering and construction environment
Ability to adapt easily and accept changing situations
Excellent verbal and written communication skills
Ability to work independently as well as within a team environment
Ability to take direction from multiple people
Ability to support multiple people within the department
Ability to maintain confidential information
Ability to multi-task and prioritize
College degree preferred
Minimum of 5 years experience in the engineering and/or construction industry with similar responsibilities
Minimum of 5 years of office administration experience
LICENCES OR CERTIFICATIONS REQUIRED/DESIRED:
Notary Public desired.
PHYSICAL ENVIRONMENT AND DEMANDS:
Office cubicle environment
Required to sit for long periods of time
Required to use computer keyboard, mouse and monitor for long periods of time
Ability to lift up to 35 pounds on occasion
Phone use (cradle and headset usage)
Ability and willingness to travel on occasion
Some travel to job sites may be required in order to support project teams.
