Job Description
Data Conversion Specialist
Summary:
The Data Conversion Specialist position efficiently and accurately transitions a client?s business-critical data into their MINDBODY software. This information most commonly comes from competitor software or custom databases. The position requires technical knowledge of databases and excellent project management capabilities, as well as MINDBODY software and industry knowledge.

Essential Duties and Responsibilities:
Works with a list of assigned clients to manage their data conversion project to completion.
Schedules the multiple aspects of a conversion, rescheduling when needed to meet project timelines.
Clearly communicates timelines, expectations, and deliverables to clients.
Finalizes a conversion?s scope by consulting with clients to determine which information can and should be retained in MINDBODY, including making best business practice recommendations when needed.
Performs high-level data checks to ensure preliminary understanding of the data.
Performs detailed data analysis.
Data manipulation in Microsoft Excel, Access, and text files as needed.
Proactively follows through during the entire conversion process to ensure the accuracy of the conversion as well as to report any unexpected issues.
Thoroughly documents all conversion work, particularly new competitor conversions that may be useful in training other staff and developing conversion tools, including leaving detailed contact logs after each point of contact.
Provides client support and conversion issue resolution.
Performs conversion work including the following types of data:
Client contact information
Products
Visit history
Gift certificates
Remaining sessions
Other duties may be assigned as required.
The ideal candidate will also possess the following skills:
Planning: Accurately scopes out length and difficulty of tasks and projects, sets objectives and goals, breaks conversion work into the process steps, develops schedules and assignments, anticipates and adjusts for problems and roadblocks, designs feedback loops into work, measures performance against goals, evaluates results.
Priority setting: spends time on what is most important putting the trivial aside, eliminates roadblocks to create focus.
Decision quality: makes good decisions based on a mixture of analysis, wisdom, experience, and judgment; does not guess on answers to problems.
Written communications: Able to write clearly and effectively in response to client inquiries and issues, communicates complex processes in a way that?s easy to understand, gets messages across that have the desired effect.
Business acumen: knows how businesses work, knowledgeable in the MINDBODY product and how businesses use it.
Customer focus: dedicated to meeting the expectations and requirements of internal and external customers, acts with customers in mind, uses customer information make changes in how data is brought over or displayed in MINDBODY.
Learning: able to learn quickly when facing new problems; will experiment to find solutions or sources to problems; enjoys challenges of unfamiliar tasks, continually looks to improve his/her knowledge of the data conversion service and MINDBODY product.
Remains calm under pressures; does not become defensive or irritated when the situation becomes stressful.
Keeps confidences and avoids gossip; admits mistakes; does not misrepresent him/herself for personal gain.
Ability to work independently and proactively with a minimum level of supervision.
Qualifications, Education, and Experience:
Bachelor?s Degree or technical certificate related to database management or information technology/systems management, or four years of equivalent work related experience.
Two years of related customer service experience and/or project management experience.
Demonstration of MINDBODY company knowledge, and alignment with culture and core values, including demonstrated proficiency in MINDBODY Technical Support.
To give each individual the necessary skills to accomplish this job successfully, MINDBODY will provide Technical Support and Data Conversion training. Each individual will be tested on and must pass requirements for each of the above duties at a satisfactory level.
Language Skills
Ability to read and analyze customer questions.
Ability to clearly write procedures in response to customer questions.
Ability to effectively present information (oral and written) and respond to customer questions in one-on-one and group settings.
Computer/Technical Skills
Intermediate to advanced knowledge of:
Database and internet based software
Microsoft Access and Excel
Beginner to intermediate knowledge of:
Internet browsers and settings
Online tools and email
Wellness business operations
Microsoft SQL Server (preferred)
Typing: 40-60 WPM.
Physical Demands
