Job Summary:
This position is responsible for ensuring all telecom invoices are entered/scanned into the companys proprietary inventory/payment system. This includes communicating and rectifying issues with vendors on various billing address and receipt issues.
Responsibilities:
Must partner with Client Management and Customer Service to ensure client invoice questions, information and issues are addressed.
Liaise with Billing and Inventory for consistent and accurate communication regarding invoice and disconnect issues. Communication, when needed, with IT on scanning technology troubleshooting problems.
Accept mail deliveries from the post office and other carriers
Pick-up invoices/mail at post office ; Deliver internal packages received
Sort mail by clients / Open mail manually and/or using high volume letter opener
Prepare Client scanning batches
Operate and manage electronic scanning equipment to process paper batches
Validate scanned documents for quality control
Evaluate and address exceptions identified through Batch Manager.
Enter and scan invoices into system following client business rules
Enter and hand deliver disconnect notices to Billing Analyst in a timely manner
Submit completed batches for filing
Completed validated batches are sorted and filed by client for historical record
Request missing invoices by accessing or downloading customer invoice information from carrier portals; emailing or calling vendor contacts
Change billing address on invoices received directly from the Client to Quickcomm address by emailing or calling vendor contacts
Track and update invoices to reflect correct bill to address
Follow and manage client purge schedule
Manage Digitizing email box with invoices as well as inquiries
Navigate through both domestic and international portals to retrieve invoices
Translate international invoices using translation tools from the Internet
Manage and complete help desk tickets
Request W9 Forms
Request and build Remit Codes into our system
Support client Mangers on information required for Client implantation meeting.
Assist with training/mentoring of new hires
Performs other duties as assigned and directed
Qualifications:
High school diploma and one year experience in processing payables, high volume preferred.
Proficiency in Excel and Internet
Experience utilizing scanning equipment
Strong analytical skills with a working knowledge of internal company accounting structure and process and/or accounts payable experience
Ability to multi-task
Excellent organizational and communication skills
Ability to provide outstanding customer service
Attention to detail
Ability to handle high volume of work
Adaptable to changes
Ability to handle and work through multiple priority issues
Outstanding follow up skills
