Document Control Lead Turbine Air Systems
THIS JOB HAS EXPIRED Overview:
Will perform and maintain all activities of a Project Document Controller. Will be assigned as a Document Control Lead to represent the Document Control Department for large projects and/or on multiple small project teams. Will coordinate the Document Control responsibilities in compliance with his/her assigned project requirements insuring the accurate and timely processing of all incoming and outgoing applicable documents and to insure the proper maintenance of all assigned files as defined by the internal requirements as well as the specific project requirements and company standards and policies.
KEY JOB RESPONSIBILITIES:
Work closely with the PM/EPM in order to capture and accommodate all requirements dictated by the client on document/drawing format and submission process and inform DC manager of any requirements outside of standard practice.
Will work closely with the P/EPM as well as the System consultants in order to complete the project set up process within the document management system (DMS) including the creation and upload of the Master Document Register.
Establish and maintain project contacts and distribution as required in the document management system (DMS) throughout duration of the project.
Process and distribute all engineering documents within the newly implemented system, both submitted to and returned from the client.
Process, distribute and maintain shop drawings in order to provide latest version of each drawing.
Process and distribute received documents from vendors/suppliers for review and approval. Monitor review cycles closely.
Review project supplier(s) documentation specifications for any requirements outside of TAS standard process and inform the DC Manager appropriately.
Produce weekly reports containing all, active, and overdue documentation and distribute internally as well as externally.
Attend project team meetings to monitor schedule changes that pertain to deliverables. Address submittal/deliverable issues, provide document status, and update system accordingly
Communicate with engineering staff on document issue resolutions and duration requirements
Maintain open communication with client and vendor(s) document control and/or expediting department in order to resolve issues and discrepancies as they arise.
Interface with cross functional departments as needed (i.e. assist service department in the consolidation of documents and the creation and submission of O&M manuals)
Work closely with purchasing in order to verify receipt of all required deliverables from the client.
Research and collect information and document status as requested by manager; create off-cycle reports as needed.
Will update the document control ?Lessons Learned? form at the end of every project.
May be required to compile books as the request of the project team through the duration of the project, including tab/divider creations, printing, scanning and shipment.
Delegate and coordinate workload pertaining to document control per projects with document control assistants.
Train end users on the system and document control requirements per project as needed.
Expedite overdue vendor documentation as well as internal overdue documentation.
Knowledgeable in Microsoft programs (i.e. Word, Excel?), as well as Adobe Standard.
Proficient in both verbal and written communication skills.
Must be able to multi-task, prioritize, and manage workflows with great attention to detail.
Ability to work in team environment as well as independently.
EDUCATION & TRAINING
High School Diploma or equivalent
4 years of document control experience within the Oil and Gas Industry.
Experienced in maintaining several projects at once.
Knowledge of review cycles and industry standard requirements of deliverables
Experience in research and development of newly implemented document management systems
Experienced in Procore
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
Position is at least 80% to 95% at a desk working with computer. Ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Performs other physical activities including use of fingers, sitting, stooping, bending, crouching, talking, hearing and performing repetitive motions. Visual acuity requirements include color, depth perception and field of vision necessary to prepare and analyze data and figures, operate a computer terminal and conduct extensive reading. The incumbent will be subject to inside environmental conditions.
