The Document Control Specialist will be responsible for implementing, developing and defining procedures for all aspects of Document Control within an Engineering and Construction Project Environment. This position is responsible for maintaining project documentation files consisting of technical data, engineering and supplier drawings, technical specifications, purchase orders, transmittal memoranda and other project-required documents.
General Responsibilities:
Establish, implement and manage the project document control and document management process systems
Prepare and issue document control procedures for the each project
Receive, retrieve, prepare, print, scan and upload documentation to servers
Establish and maintain a project index for any hard copy engineering documents and/or correspondence stored by the project.
Maintain a clear distinction between latest revisions vs. superseded documents with revision control
Ensure that all received electronic media are filed appropriately with attributes and correctly within the folder structure
Establish and maintain a project archiving strategy for hard copy project documents and to manage project handover requirements for hard and soft copy documents upon project completion
Coordinate with others to obtain missing or incomplete information as well as being responsible to update logs, databases, corporate applications and servers
Coordinate shipments of any documentation to and from inside/outside facilities and sites
Expedites processes and maintains revision history of supplier, vendor, and sub-contractor drawings, documents and data ? electronic and paper format
Prepare forms and transmittals and distributes data as required
Coordination with IT to assure archiving of documents
Skills Required:
3-5+ years of Engineering and Construction Project document management experience required
Experience viewing Engineering and Construction Drawings and Documents, large and small format scanning experience
Must have ability to navigate in Windows environment manipulating files on multiple windows and renaming files once electronic issue is completed
Microsoft Office and Adobe Acrobat knowledge
Working knowledge of CAD required. Must be familiar with various file types including tif, .pdf, .jpg, .dwg & dgn.
Must interact effectively with all levels of internal and external customers
Ability to work well independently with little to no supervision, and in a collaborative development environment.
Able to multi-task and meet deadlines.
