Executive Administrative Assistant Durata Therapeutics, Inc.
The Executive Administrative Assistant provides administrative support to members of the Executive Team and their respective teams with complex administrative needs in several areas including, but not limited to, calendar management, travel coordination, meeting/event planning, and presentation development and has the ability to handle sensitive and confidential information with the utmost discretion . In addition, this role is the liaison between the Company and building management and assumes office services responsibilities.
OVERSIGHT AND EXECUTION RESPONSIBILITIES:
The main responsibilities of this role include, but are not limited to:
Coordinates activities and support for the Executive Team members and their respective teams
Handles details of a highly confidential and critical nature, while collecting and preparing information for use in discussions/meetings of executive staff, Board of Directions and outside individuals
Takes pride in flawlessly managing calendars, scheduling arrangements, and domestic and international travel in an ever-changing environment
Designs presentations and reports using advanced level Microsoft Offices skills, particularly with PowerPoint, Word, and Excel, to prepare documents containing confidential information; pays close and careful attention to the appearance, clarity, and cohesiveness of presentation materials and documents
Processes and submits expense reimbursements
Works as a team with the receptionist to provides phone support and coverage for the company
Schedules and prepares board presentations materials for meetings with the Board of Directors
Assists with special projects, including board presentation materials, budget and legal documents.
Manages external relationships (i.e. IT, Insurance, telecommunications, etc.)
Communicates with senior management and board members
Liaises with vendors to coordinate meeting and travel arrangements
Coordinates meetings and schedules as appropriate
Maintains electronic filing in appropriate systems to ensure compliance
Performs other general administrative duties such as filing, faxing, organizing office space, ordering, mailing, etc
Exercises independent judgment and initiative related to tasks pertinent to the role
TRAINING AND EDUCATION:
Bachelor?s degree preferred
5+ years of similar high-level administrative position (e.g. CFO, EVP or higher) in a professional environment
Prior experience within the pharmaceutical or biotechnology industries preferred
Prior experience in public company required
Prior experience in managing broad administrative responsibility
Prior experience arranging international travel
Ability to handle highly sensitive and confidential information
Ability to manage and prioritize multiple tasks with strong attention to detail in a business with changing priorities
Ability to set an example and maintain a positive culture and environment for company
Ability to work with little or no supervision, but with the good judgment to know when to involve others or ask for guidance
Ability to handle multiple calendars, travel arrangements with accuracy and efficiency
Excellent verbal and written communication and project management skills
Ability to develop, implement and understand general company operations, work flows and procedures as appropriate
Strong interpersonal organizational and analytical skills with attention to detail
Ability to work in fast-paced environment with competing priorities
