Executive Administrative Assistant Turbine Air Systems

The Executive Assistant is primarily responsible for providing administrative support for the offices of the President and Chief Executive Officer, Chief Financial Officer, and Chief Technology Officer. This position may, from time to time, assist the rest of the Sr. Leadership Team with additional administrative tasks. The Executive Assistant deals effectively with a diverse group of important external callers and visitors, as well as internal contacts at all levels of the organization.
KEY JOB RESPONSIBILITIES
Develops general correspondence, memos, charts, graphs, and tables in support of the executive offices.
Maintains files and records for executive offices
Manages confidential projects for the executive offices
Coordinates and assists in all aspects of corporate events & community relationships.
Maintains executive outlook calendars & contacts
Coordinates the Executive Office travel arrangements ? domestic and international.
Maintains corporate travel agent, hotel, and rental car relationships. Coordinates group travel and updates traveler profiles
Relieves on switchboard routinely if necessary.
Maintains vendor relationships ? Coffee, Vending and Catering
Completes expense reports for the executive staff
Manages travel & meeting details for Corporate, Customer & Supplier visits
Maintains all business card requests and ordering for the organization
Manages all catering needs for the organization
Assists the VP of Project Management with scheduling and preparing for monthly Executive Project Review meetings
Assists with preparations for the Board of Director Meetings
On behalf of the CEO, approves expense reports and requests for time off for the Sr. Leadership Team
May assist the Human Resources team with processing employee status changes, benefits or other administrative duties
Performs other duties as required by the Executive Officers or other Sr. Leadership Team.
Excellent general administrative skills.
Time management skills and independent judgment to prioritize and organize diversified workload.
Strong verbal and written communications skills.
Excellent computer skills and knowledge of a variety of software applications.
Some analytical ability is required to gather and summarize data for reports.
Three to five years of experience with high level administrative work supporting an executive or senior management team.
Proficient in Microsoft Office products including Outlook, Word, PowerPoint and Excel
High School diploma
