We seek a Full Time Executive Administrative Assistant to work closely with CFO and Director, HR on matters of importance and confidentiality. Reporting to the Director, Human Resources but supporting dual rules (CFO and Director, HR).
Business hours are Monday - Friday 8-5 PM.
Major Duties & Responsibilities:
Handles details of a confidential nature and performs administrative functions based on understanding of company policy, executive?s views and philosophy
Front desk coverage ? greet visitors, receive/deliver mail
Coordinate travel arrangements ? including car, flight, hotel accommodations
Calendar access to help with scheduling.
Coordinates and arranges meetings, prepares agenda, reserves/prepares facilities:
Seattle Suite Games (Seahawk or Mariner) ? working closing with Director of Human Resources
Partner with marketing to ensure company-wide birthday cards are signed and distributed as needed throughout the year
Maintain office/break room supplies
Work with Director of Human Resources on coordination of:
o OSU Management Registration
o OSU Monthly reports to Regional Managers
o Send out 30 Day Stay Interview Feedback emails:
Preparing summary of results for Director of Human Resources
Preparing/copies of material in preparation for meetings
Manage Plant Vendor relationships in Mercer Office
Participate and help drive success of our corporate Wellness Program by Wellness Committee with Director of Human Resources and Payroll Manager
May be required to respond to emails/calls during non-business hours to support changes in travel or meeting accommodations
Other duties assigned as needed
Educational or Skills Requirements:
Maintains close contact with property management and resolves issues pertaining to building security and maintenance.
Coordinates all aspects of expense reporting for self, CFO and Director, Human Resources
Ability to maintain professionalism and composure under stressful situations
Minimum 3 years prior administrative experience, preferably supporting upper management
Excellent communications (oral and written) and interpersonal skills
Extensive knowledge of office operations
Entrusted with highly confidential and sensitive information
Constant exercise of independent judgment
Ability to prioritize, work independently, take initiative, and handle multiple tasks in a professional and organized manner
Demonstrates strong expertise in Microsoft Office Suite (specifically Excel) and other technical systems such as Sharepoint
Ability to coordinate meeting plans, schedules, and events in a detailed manner
