The Executive Assistant works cohesively with team members to provide effective and efficient administrative support to the executive officers of the company. The position requires thorough knowledge of company operations, policies, and procedures, and handles details of a highly confidential and critical nature. The EA collects and prepares information for use in discussions and meetings of executive staff and outside individuals, prepares reports and presentation materials for board of director meetings, and makes high level contacts of a sensitive nature inside and outside the company.
Responds to challenges, assignments, and priority requests; sees beyond own tasks by prioritizing, taking on new assignments, and rearranging tasks to help fulfill the organizational goals.
Excellent interpersonal, decision-making, organizational, and office skills that can multi-task in a fast-paced office environment.
Highly-skilled in typing, writing, grammar, punctuation, and oral communication with the ability to communicate, in both oral and written forms, clearly, concisely and effectively.
Knowledge of a second language such as Mandarin Chinese, Japanese, Spanish or French is desirable but not required.
Motivated to balance ongoing projects with daily tasks, taking initiative to respond to priorities.
Arrange travel through the Internet or using outside agents, including booking flights, hotels, and cars. Create detailed itineraries.
Complete expense reports.
Daily tasks completed before departing from work for the day.
Contact information kept current at all times.
Meetings arranged professionally, ensuring all invitees can attend without calendar conflicts.
Meeting materials prepared and distributed well in advance of meetings.
Meeting preparations, including beverage setup, meal delivery, communication links, and conference room organization, finalized prior to meeting commencement (the night before, if necessary).
Print calendar daily, with reminders presented timely.
Prioritize workflow to meet real-time needs.
Update and chase delegated tasks to ensure progress to deadlines.
Monitor deadlines on incoming requests and put preliminary work in play.
Perform to earn the full confidence of executives and board members.
Assure discreet handling of all business.
Achieve and maintain a professional appearance at all times.
Proofread and check all work prior to distribution to others.
Manage calendars, liaise with executives and their direct reports, answer phones, file, copy, and fax documents, and perform tasks encompassing all aspects of office operation.
Prepare temporary business cards when necessary.
Assist with special projects.
Perform other tasks as assigned from time to time.
Polished professional with excellent interpersonal, grammatical, spelling, listening, writing, proofreading, telephone etiquette, and social skills.
Professional in both appearance and demeanor.
Advanced knowledge of Microsoft applications, including Access, Excel, Outlook, PowerPoint, and Word, and proficient internet research skills.
Ability to use diplomacy and handle sensitive and confidential matters discreetly exhibiting honesty, integrity, discretion, and sound judgment at all times.
Punctuality is essential.
Top-notch organizational, problem-solving, and analytical skills; able to efficiently manage priorities, projects, and workflow.
