MAJOR DUTIES AND RESPONSIBILITIES
Maintains and updates the CEO's calendar and schedules appointments and meetings.
Makes necessary arrangements for travel, transportation, and hotel reservations.
Reviews incoming correspondence, reports, instructions, etc., to determine issues that can be handled personally and issues that require escalation.
Receives visitors and screens telephone calls and responds to inquiries as directed.
Prepares a variety of documents including announcements, correspondence, memoranda, and reports.
Maintains detailed spreadsheets and databases, as required.
Assists with the development/production of reports, spreadsheets, presentations and meeting materials including proofreading and editing documents for form, style and accuracy.
Conducts research and prepares statistical reports as requested.
Acts as a liaison between the CEO, external or internal executive team, Board of Directors, managers and consultants.
Assists CEO, clients, partners and executives in presentations and in summarizing reports and documents.
Participates in meetings as requested; taking notes and preparing meetings.
Performs copying, scanning and sending faxes.
Works with and maintains confidential information.
Acts as a representative of the CEO in meetings, seminars and conferences as requested.
Completes other duties as assigned.
High School diploma or equivalent with a minimum of five years related experience providing administrative support at the executive level.
Strong knowledge of administrative and clerical procedures.
Demonstrated proficiency in using Microsoft Office suite.
Demonstrated ability to perform difficult, complex and detailed clerical and administrative work with accuracy and speed.
Ability to interact and communicate comfortably and confidently with people at all levels.
Strong attention to detail, dependability and discretion and the ability to work with and maintain confidential information.
Working knowledge of office methods and practices including filing, proofreading, formatting, report writing, computer operation (applications in word processing, presentation and spreadsheets, superior internet skills), and operation of standard office machines and equipment.
Excellent analytical and problem solving skills; and effective written and verbal communication skills with exceptional reception and telephone etiquette.
Ability to manage own time and that of others, and prioritize workload and requests for assistance.
Ability to work independently and with others to achieve work objectives.
