Position Summary:
The Executive Assistant performs duties that include management, coordination, research, and a variety of other duties to assist and augment the jobs of Senior Management in the Atlanta Office. The Executive Assistant must exercise good judgment in decision making, be willing to take initiative, and possess excellent oral and written communication skills. Many tasks will be performed independently.
The position must respect and protect the confidential nature of the work of the Senior Management. The Executive Assistant also supports Senior Management with their work with various outside organizations with which they are involved. Additionally, as time permits, provides administrative assistance to others, and assists with office management needs.
Essential Responsibilities/Duties:
Administrative Support (80%):
Independently responds to inquiries on behalf of the Senior Management.
Prepares and maintains appointment calendars including: coordinating travel, arranging meetings and appointments, setting up lunches and calls for the executive team.
Provides project support using Excel and PowerPoint.
Answers phones, routes calls, takes messages.
Greats guests as first-contact, in professional and friendly manner.
Maintains confidentiality as appropriate, and projects a professional image.
Drafts correspondence, agendas, and other documents.
Provides administrative assistance to others, as schedule allows.
Interacts professionally and effectively across all offices and take a leadership role with the office, relating well to management, staff, and outside.
Other duties, as assigned.
Office management (20%):
Processes and distributes daily incoming mail.
Orders office supplies when needed.
Independently responds to all requests regarding facilities.
Independently drafts and decides content of informational notices, employee news, etc.
Oversees vendors for the Atlanta location (vending, shredders, office machines, etc.).
Acts as Emergency Contact for the Atlanta location.
The non-essential responsibilities of the Executive Assistant are described below:
Help staff teams with coordinating meetings/calls, including facilitating meals, beverages, etc.
Act as back up for the Executive Assistant/Facilities Coordinator - Headquarters.
Requirements:
Bachelors or Associates degree, with at least five years of relevant experience at an executive level, or equivalent work experience.
Demonstrated excellent communication and organizational skills.
Proficiency with various Microsoft computer applications such as Word, Excel PowerPoint, and Outlook.
Strong ability to support the executive team in a professional and reliable manner.

Working Conditions:
Office environment most of the time, with an atmosphere of teamwork and cooperation, emphasizing positive, timely communication. Hours may fluctuate based on work priorities and demands of meetings and special events.
