Job Description :
The Executive Assistant (EA) to the Executive Vice President (EVP), will directly support two EVP?s, with indirect support for a technology organization. The EA must possess the ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.
The ideal candidate will have worked in a Technology and/or Software Sales Organization.
This candidate needs to be able to schedule and help produce team meetings of the executives and their direct staff for regular and quarterly meetings.
This candidate will also play a key role in creating and managing off site meetings which include external customers & partners. The candidate will both understand the nuances of customer etiquette as well as how to handle customers and internal VP partners.
This candidate will play a key role in the executive?s weekly staff meeting (manage the schedule and calendaring, agenda, managing guests, capturing and communicating the action items from weekly staff).
This person is the face to the organization for the executive and needs to be able to work across SAVO on behalf of the leader (with other EA?s to the Ops Staff and VP level leaders) and must possess strong executive presence.
This role/candidate needs to be effective at booking travel (VP makes trips with multiple stops when he is out visiting sites or customers)
This role/candidate must possess the ability to think one step ahead of the leader at all times.
Regular and predictable attendance required.

Job Requirements :
General Executive Assistant Capabilities.
Works as a close partner to the executive the person is supporting; keep pace with the executive and be thinking one step ahead of the executive.
Acts independently to determine methods and procedures on new assignments.
Organized self-starter with minimum of eight to ten years of related experience in the high tech sector and ideally a sales culture.
Ability to work autonomously, take initiative, and follow-through.
Must be assertive and resourceful.
Ability to multitask and prioritize projects in a fast-paced environment.
Attention to detail, accuracy, and timeliness.
Team player with strong interpersonal skills and ability to manage complex assignments.
Proficient with Microsoft Office (Word, Excel, PowerPoint) and other office productivity tools (email, calendaring).
Responsibilities include managing, personnel requisitions, expense reports; making travel arrangements, coordinating meetings, phone conferences and off-sites internally and externally; fielding external inquiring and managing presentations, and compiling information into presentations as required, facilitating and processing paperwork and routing; and providing other general administrative support.
Perform all standard administrative duties, including but not limited to calendaring, meeting coordination, travel arrangements, filing, organization of the office, coordination of meetings and ensuring timely communications. Draft more complex correspondence, coordinate division-wide events, presentation creation, ensure compliance with policy and procedures. Purchase hardware, software, CD media, books and office supplies. Reconcile monthly pro-card charges, schedule meetings, conference rooms and presentation equipment. Arrange travel. Track expenditures and maintain department budget. Schedule interviews as needed. Submit requests for assistance with equipment, software, and office issues.
Successful candidate will be assertive, motivated and will have excellent communication skills, ability to prioritize and apply sound judgment, and the ability to juggle multiple demands simultaneously.
Candidate must demonstrate strong attention to detail, and be able to work effectively with a minimum of direction.
