Amazing opportunity for a competent, self-assured Executive Assistant to assist a team of Guidewire's top executives. This is the perfect job for an EA who has supported executives at the highest level and who enjoys the challenge of always thinking a step ahead in a fast-paced environment. The Executive Assistant â€" Corporate Services will provide support to the CFO, Vice President of Finance, General Counsel and other executive management as needed. This position reports directly to the Manager of Corporate Services and will serve as a special project coordinator with the Corporate Services Team. Successful candidate will be attuned to the confidentiality and proprietary nature of the information handled in this type of position and will have the desire to be in a financial environment. Duties include heavy calendar management for multiple calendars, large scale meeting management, event planning, facilitate procurement and sales contract legal review/approval and general administrative support for travel, expense reports, filing, scanning, etc. Ideal candidate will act as a gatekeeper for the CFO and General Counsel responding to inquiries on their behalf when necessary. Candidate should have 5 years plus executive assistant experience, preferably in a publicly-traded company with a strong knowledge of corporate finance and law.
Skills required:Extensive MS Office software skills are required (Word, PowerPoint, Excel, Outlook), as well as Internet research abilities and strong communication/interpersonal skills.
Collegiality, proactive attitude, ability to multi-task in a fast-paced environment and strong organizational skills are essential.
Discretion and a high-level of confidentiality are required in this role.
Ability to manage changing priorities.
Experience supporting C-level executives in finance and legal which requires a high level of professionalism.
Responsibilities include:- Answer telephone calls, receive/direct visitors
- General office duties: filing, scanning, copying, faxing, processing mail, shipping
- Meeting management assistance, booking conference rooms, order catering for meetings, meeting set-up and breakdown
- Assist in preparation of meetings materials
- Act a conference room manager ensuring rooms are tidy, kept, organized and well stocked before and after all meetings
- Assist with special projects as required e.g. Quarterly Management Meetings; Company's Annual Picnic and Holiday Party.
- Take initiative to respond to requests efficiently and competently in manager's absence. Back up to the Senior Executive Assistant.
- Create and maintain procedures manual to ensure consistent performance of routines
- Provide back-up to front desk/receptionist coverage when needed
- Provide additional administrative support for other operational programs as defined by the manager
- Receive and log contracts/documents, update and manage index
- File contract hard copy, scan/copy as needed and track receipt of counter-signed versions
- Process upload transfers to document management program
- Heavy calendar management, meeting and travel arrangements, expense reports for four C- level executives in finance, legal, and marketing.
