We are currently recruiting an Office Manager/Executive Assistant to join us in our Ewing, NJ location.
The person hired will provide administrative support to the Commercial Operations Leader and General Counsel, plus department support to Human Resources. Duties may be clerical, administrative and project-based and include scheduling travel, arranging meetings, handling information requests, preparing reports and correspondence and liaising with senior leadership. This position is often privy to confidential information and as such, requires diplomacy and discretion. Other job duties include but are not limited to:
-Manage calendars; coordinates requests for staff and external parties.
-Provide research and administrative support to special projects, assemble and analyze data to prepare moderate complex reports, presentations; and documents
-Provide comprehensive administrative support; answers, screens and directs incoming calls, visitors and correspondence; prepares, reviews, and tracks expenses and completes expense reports.
-General Administrative and Clerical tasks such as preparing presentations, answering phones, drafting correspondence, faxing, mailing, filing and photocopying.
-Maintain the executive office space and supply needs, process invoices.
-Schedules company meetings and events, meetings with outside vendors/firms and management meetings as applicable
-Arranges travel and logistics including booking flights, car rental and hotel accommodations.
-Independently resolve routine and complex inquires
-Assist in the scheduling and management of all recruitment efforts
Qualified candidates will have 3-6 years of relevant office experience. Incumbent will possess advanced experience with word processing, Excel spreadsheet creation and ability to work with formulas, ability to create advanced Powerpoint presentations, Internet experience, and strong proofreading skills. A concern for detail and accuracy, initiative, self-confidence, multi-tasking, analytical problem solving skills, ability to follow direction and ability to maintain confidentiality are also key traits for this position. Ability to be proactive is a must.
