Executive Assistant / Human Resource Coordinator Ooma

Summary: Ooma is seeking an Executive Assistant / Human Resource Coordinator who will part of the
Ooma team reporting directly to the CEO and acting as the Human Resources Generalist.
Essential Duties and Responsibilities:
? Strong management of scheduling all internal and external meetings, travel plans, conference
calls and day to day activities.
? Prepares presentation materials for Board of Director meetings. Prepares agendas, notices,
minutes and resolutions for corporate meetings and coordinates follow up with meeting
participants on tasks/issues as appropriate
? Performs confidential secretarial function including preparing confidential correspondence,
reports and other complex documents
? Phone call management will include screening and prioritizing all phone calls
? Comfortable interacting with clients which may include external senior executives and the Board
? Writes correspondence on behalf of the CEO; type memos, purchase requisitions, payment
requests and other department forms and documents.
? Ability to make sound, independent decisions and use own initiative to accomplish tasks at hand
? Organize programs, events, meetings or conferences by arranging facilities, caterers, invitations,
negotiating vendor contracts and controlling event budget.
? Creates and maintains database and spreadsheet files
? Provide department support where needed, such as; send faxes, photocopies, office supplies.
? Liaise with property management to handle facility matters, including vending machine vendors,
and coordinating repairs where needed
? Manage record keeping of stock option grants on behalf of the CEO and outside legal counsel
? Perform human resource generalist tasks to support policies and processes including; new hire
orientation, benefit enrollment, job posting and recruiting.
? Respond promptly and accurately to employee questions regarding benefits, HR policies and
? Manage employee personnel records, labor law posting notices in accordance with state and
? Work closely with Human Resources to ensure all policies and procedures are adhered to,
promote and maintain effective programs in compliance with state and federal law regulations.
Required Experience & Qualifications:
? 5+ years of executive assistant experience to CEO in mid?to?large organizations
? 3+ years of human resource generalist experience and PHR certification
? Bachelor?s degree in Business Administration, Human Resources, or related field.
? Possess a high degree of organization and ability to multi?task in a fast paced environment. ? Strong skills developing effective relationships, communication skills, andmanaging
expectations in a fast paced organization
? Strong interpersonal, organizational and communication skills are required, with the ability to
partner with managers at all levels
? Acts independently and demonstrates effective conflict resolution skills in developing
recommendations and solutions to solve complex issues in an effort to anticipate CEO needs.
? Highly proficient written and verbal communication skills required
? Advanced computer skills in Microsoft Suite Applications (Word, Excel, PowerPoint)
? Demonstrated experience in maintaining highest level of confidentiality and ethical behavior
