The Executive Assistant will provide administrative and operational support and assistance to office as well as perform executive support for the President, Chief Technology Officer, and Senior Vice President, Sales. This role will ensure the office operates in an efficient and effective manner by assisting with various administrative projects across the enterprise. In addition, this person will offer support to other departments on an as needed basis.
The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks for multiple individuals and will be able to work independently with little or no supervision. The Executive Assistant is responsible for anticipating needs, communicating professionally, and functioning in a dynamic and changing environment while maintaining the utmost discretion with regard to proprietary and confidential information.
Coordinate travel arrangements for the three busy executives.
Handle travel and expense needs.
Setting up meetings and maintaining schedules.
Meeting preparation to include agendas, itineraries and preparatory materials, conference room and/or conference call set up
Direct inbound calls to appropriate destination. Support caller to resolve issues or questions if contact is unavailable or out of the office.
Greet and assist guests visiting the office to ensure that their visit leaves a positive impression. Host visiting employees by introducing them to the office and making sure they have phone/computer/desk set up.
Coordinate with Corporate IT to ensure office IT needs are met and all employees have phone and computer set up. Manage technology issues.
Office Supplies- ordering all necessary items and documenting them.
Assistance to staff with PowerPoint presentations.
Facilitate the creation and/or editing of documents as needed
Manage mail services for the office including overnight shipments. Work with employees to ensure that most cost effective format for shipping is utilized.
EXPERIENCE / QUALIFICATIONS:
3-4 years of administrative support work.
Excellent communication skills, both verbal and written.
Demonstrates attention to detail.
Must possess excellent organizational, problem-solving, and time management skills.
Proactive in providing administrative support to executive(s).
Organizational awareness: ability to interact with internal and external clients at all levels. Strong interpersonal skills. Demonstrates business savvy.
Ability to adapt to change and work well under pressure.
Self-motivated with a high level of initiative and follow through.
Must be deadline oriented.
Experience managing calendars in Outlook, as the SVP of Marketing and coordinating between different time zones and locations.
Minimum High School Diploma, some college is preferred.
MS Word & PowerPoint required.
Advanced working knowledge of MS Outlook and Excel (including graphs and charts) required.
