DescriptionWorking with the COO, CFO, and Vice President of School Partnerships, this position will be pivotal in coordinating the day to day activities of the Operations, Finance, and School Partnerships teams. With a close knit team people, this position will work closely with multiple members in order to facilitate smooth Executive support. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting diverse people and programs. The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.
Requirements
Duties and Responsibilities:
Provide experienced administrative support to three busy executives.
Collect and prepare report data for use in discussions/meetings for executive and staff.
Represent Company and Supported Individuals to outside relationships.
Filter, prioritize, and route information to the executives.
Manage calendaring (using Microsoft Outlook) and travel arrangements, proactively problem solve schedule conflicts.
Responsible for expense submissions, filing, phone/meeting management, and all other administrative tasks needed to support busy, growing department.
Coordinate activities (including large meetings spanning time zones) between departments and outside parties.
Manage department meetings, including catering, AV requirements and set-up/break-down of conference rooms.
Manage general email inbox as forwarded, respond to requests as appropriate.
Manage incoming calls and messages to executives, direct callers to correct staff member, assist callers, and respond to voice mail.
Prepare presentation materials for internal and external meetings.
Coordinate recruitment and onboarding activities with other departments, including travel and expense reimbursement.
Exercise excellent judgment within generally defined practices and policies in obtaining solutions.

Minimum Qualifications:
5+ years advanced administrative support experience working with senior level executives.
Must be very tech savvy- this is a paperless office environment.
Strong attention to detail, flexibility, creativity and professionalism in all interactions.
Excellent written and verbal communication skills.
Strong proficiency in Microsoft Office Suite, including Outlook, Excel and PowerPoint.
Desire and skills to work collaboratively with other staff to provide. exceptional proactive support in a growing department.
4 year degree preferred, but not required.
