THIS JOB HAS EXPIRED Reporting to the Chief Operating Officer, the Executive Assistant / Office Manager is a jack-of-all-trades who understands the requirement for flexibility and accommodates shifting priorities in a very fast-paced open office environment. We are looking for an enthusiastic self-motivated individual who uses discretion, integrity and hard work to ensure the management team performs productively and the office runs efficiently. The successful candidate is passionate about working for an early stage tech start up and seeks additional responsibilities as our company grows. This is an excellent opportunity to become a key player in a high profile start up and learn the inner workings of a high tech business from the ground up. There are multiple opportunities for growth in this position.
? Provides administrative support to the executive management team, as well as other Personal colleagues, with a heavy emphasis on scheduling internal and external meetings, assisting the marketing department with media relations, making travel arrangements, etc.
? Liaise with Board Members and their staff; scheduling board meetings; handling logistics of board meetings, sending materials for review prior to the meetings
? Reviews finished materials for accuracy, format, grammar and spelling
? Manages vendor relationships
? Organizes the office and office events
? Interacts professionally and courteously with internal and external clients
? Answers, screens and directs incoming calls, visitors and correspondence
? Receives, files, and routes correspondence appropriately
? Maintains company telephone directory
? Prepares for new hires, including office assignment, business cards, office supplies, etc.
? Proactively monitors, stocks and orders (kitchen and) office supplies while staying with an allotted budget
? Other duties as assigned from time to time by your manager
? Minimum 2 to 3 years experience in an administrative support role
? Extremely well organized, with strong attention to detail and effective time management and prioritization skills
? Outstanding teamwork, excellent interpersonal skills, and a high energy, enthusiastic, can-do, customer service oriented attitude
? Demonstrated passion about working for an early stage tech company
? Ability to exercise sound judgment and reasoning in executing day-to-day responsibilities with minimal supervision
? Ability to multi-task comfortably in a fast-paced, high-growth, collaborative, start-up environment
? Superior capability to utilize the Internet and Microsoft Office products, including ability to juggle 10 or more calendars at a time
? Flexibility to work extra hours during crunch times appreciated
? Associate's College degree required; Bachelor's degree preferred
? Ability to work in the U.S. without sponsorship
? Has a "start-up" mentality, willing to pitch in where needed.
? Human resources, bookkeeping and/or QuickBooks experience a plus but not required
