Role Definition
This person will provide a wide range of highly skilled administrative support to various senior executives, including at times the CEO. The ideal candidate will be an experienced Executive Assistant, detail oriented, organized, and capable of multi-tasking within a fast-past environment. The ideal candidate will possess the ability to complete tasks with minimal guidance or supervision. The candidate must be able to anticipate problems, create contingency plans, manage multiple priorities, and problem solve.
Responsibilities
- Coordinates complex schedules for senior executives using Outlook; requiring strong working relationships and superior customer service at all organizational levels.
- Assures smooth communication internally and externally.
- Manages heavy volume of email correspondence, phone messages and internal requests. Tracks completion of pending items.
- Assures efficient global travel arrangements while minimizing costs where possible.
- Coordinates logistics for onsite and offsite meetings and events.
- Performs administrative functions, including preparing expense reports, issuing and controlling of company credit cards, monitoring due dates, maintaining distribution lists, ordering equipment and supplies, record-keeping, filing, etc.
- Works with minimal supervision on assignments requiring initiative and understanding of implications to people and the organization and ability to handle confidential information.
- Exercises mature judgment and knowledge of the organization to balance business priorities, individual team needs, executive's style and company policy.
- Provides support to other departments and functions as required.
- Other activities as identified.
Qualifications
- 5 years of experience supporting CxO or SVP level; 10+ years administrative experience supporting executives in a fast-paced environment.
- Proficiency with Outlook calendar management.
- Outstanding Word and Power Point skills, above average Excel skills.
- Clear and concise communicator. Excellent interpersonal, verbal and written communication skills.
- Highly organized with demonstrated ability to multi-task and prioritize in a fast-paced environment.
- Must work successfully under pressure and handle all situations with the highest degree of professionalism.
- Experience managing projects and coordinating events.
- Work experience with tech and/or high-growth companies preferred.
- Russian language skills a plus.
