The polished technically-savvy Executive Assistant will directly support the Vice President / General Manager for MarkMonitor, a Thomson Reuters company.
This professionally astute candidate must possess excellent organizational skills, strong editing and solid written and verbal communication skills; have experience in managing multiple projects and the ability to relate to a variety of personalities at various levels of the organization, particularly at the executive level. The candidate must lead by example, be adaptive to constant change, have a professional appearance and manner, and be able to exercise good judgment and initiative. The ideal candidates will have worked for a mix of large and mid-size companies within the software industry, and have a strong, positive, results-driven work ethic.
Calendar management ? schedule meetings with internal and external parties over various time zones. Some meetings can be complex with multiple parties, at times international, and video conferencing;
Handle communication, correspondence, gate-keeping and general administration;
Manage and works on multiple projects simultaneously while remaining effective and efficient.
Plan domestic and international travel ? air, hotel, ground transport;
Complete complex expense reports ? sometimes including multiple currencies;
Organize Town Halls / Executive and on & offsite meetings ? secure room, order refreshments, prepare materials and act as onsite contact;Plan occasional special events ? retreats, company events and holiday party;
Oversee ordering office and kitchen supplies, and special orders as needed;
Facilities management ? work with Thomson Reuters and building management on any facility issues ? lights, HVAC, security, etc.
Serve as main point of contact for other offices and visitors;
Assist senior staff as needed;
Other executive administrative duties, special projects and events, as they may arise.
Minimum of 5 years? experience in an Executive Administrative role within a global company;
Ability to drive issues and timing; extremely proactive organizational and problem solving skills;
Must have experience in planning complex domestic and international travel (air, hotel and ground transport);
Excellent computer skills with mastery of Microsoft Office suite including Outlook. Skilled at creating sophisticated PowerPoint presentations, organization charts and Excel spreadsheets;
Visio experience is a plus;
Experience in understanding how to maneuver and navigate through large corporations? operations;
Four year college degree required;
Facilities management experience;
Exceptional written and oral communication skills;
Absolute confidentiality when dealing with sensitive projects;
Ability to juggle multiple projects, priorities and requests with ease;
Ability to work flexible hours, including overtime, with minimum advance notice;
Excellent judgment, discretion and proven experience dealing with sensitive and confidential information in a diplomatic way;
Having worked in a ?start-up-feel?, fast-paced company is a huge plus;
Event planning experience, including support for large meetings, off-sites and team motivation events;
Grace and sense of humor under pressure.
