Job Summary:
Reporting to the Senior Vice President, Global Sales and Services and supporting Varolii?s Field Leadership Team, including four Vice Presidents, the ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a growing company of diverse people and programs.
The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.
Primary Responsibilities:
Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as coordination of a variety of executive meetings.
Arrange travel for executive management, including proofing of final itineraries.
Capture action items and take minutes at executive staff meetings.
Assist field team members with customer visits to headquarters, including conference room management, catering orders, and document preparation. Some travel assistance may also be required.
Project manage the internal RFP process, including initial calls and meetings, as well as final submission of proposals.
Plan and manage the annual Field Kickoff Meeting, including site selection, catering, A/V, awards creation and presentation.
Provide assistance to the Marketing team for the annual user conference.
Provide expense management for five executives.
Provide back-up assistance to the Executive Assistant to the CEO/CFO in her absence.
Requirements (Knowledge, Skills and Abilities):

Excellent calendar management skills, including the coordination of complex executive meetings and tasks
Experience scheduling travel arrangements for management
Excellent project management skills ? managing teams, resources and deliverables to deadlines
Experience assisting management with the organization of meetings and deliverables
Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
Ability to multi-task and set priorities
Excellent written and verbal communication/customer service skills
Strong decision making skills
Proven attention to detail
Education / Experience:
Bachelor?s degree preferred.
7+ years? experience supporting at the executive level (Vice President/President) within sales functions in software or software-as-a-services companies
