Executive Assistant to CEO NetBase Solutions
This is an exciting opportunity for a seasoned C-level Executive Assistant to join us to provide support to our CEO and CFO. The appropriate individual will have demonstrate loyalty and integrity to do what is in the best interest of NetBase. They will be a brilliant multi-tasker who can manage traditional duties of an EA such as calendar management, meeting co-ordination, assisting with presentation preparation, travel arranging and reporting. The qualified person will demonstrate poise, professionalism, positive attitude and exceptional organizational skills in our fast-paced and fun environment!
Managing crowded CEO calendar, prioritizing contact requests, flagging conflicts, and negotiating rescheduling as necessary
Anticipating all logistics and requirements for meetings, presentations and events the CEO attends. This includes, but is not limited to, weekly E-Team meetings in which you will attend and take notes, the Board of Director meetings, monthly Company meetings and other meetings from time to time.
Calendar management for all activities, events, meetings, travel, conferences and Board activities.
Acting as a primary contact with individuals /organizations, and ensuring timely responses to all communications
Coordinating all aspects of our always-on interviewing process, such as scheduling, booking candidate travel, and organizing follow-ups
Coordinate Company events and outings
Performs Office Manager responsibilities that includes facilities, stocking office and kitchen supplies and coordinating/managing office space.
Handling of confidential matters with discretion
Completing special projects as required to support the CEO first, the CFO and HR.
Ability to work extra hours when necessary to support business initiatives
Provide leadership and influence to create a sense of urgency in others to maintain the discipline necessary for the CEO.
Reads, researches and routes correspondence; collecting and analyzing information for executive team
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the executive team, including those of a sensitive or confidential nature and determines appropriate course of action
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate the Executive team?s ability to effectively lead the company.
Maintaining a humble nature.
5+ years of business experience
3+ years of administrative experience support, C-level executive preferred
College degree preferred.
Proficient in Windows based applications, and MS Office software products
High energy level, self-motivated, positive, outgoing, personable and able to relate well with diverse populations of all levels
Highly resourceful team-player, with the ability to also be extremely effective independently
Superb communication skills, both oral and written
Exceptional writing and editing skills
Strong work ethic and willingness to take ownership for wide-ranging responsibilities
Resourcefulness and ability to work proactively
Keen sense of judgment and knowledge of the business
Strong computer and internet research skills
Superior organization and prioritization skills
Displays respect and integrity and possesses superior professionalism and discretion
Ability to communicate effectively with variety of people and have fun
