As an Executive Assistant, who reports directly to the CEO, you are at the heart of our team's business operations and activities and the soul that keeps the executive team moving forward. You anticipate the needs of the executives and team members and help them stay focused on their projects by resolving operational and administrative issues before they arise. You move quickly with the changing environment and perform a variety of high level administrative and executive duties to ensure smooth and efficient operation of the US office and the executive?s activities. In addition to being organized and analytical, you possess the strong business judgment and communication skills needed to interact with a variety of people and job functions along with the ability to multi-task in a fast paced environment. The Executive Assistant is privy to confidential information and requires diplomacy and discretion.

The role requires the following activities:
Senior Level Administrative Support to the CEO
? Provide senior level administrative support to the CEO through the facilitation of communication on his behalf (follow-up with letters, memos, reports, e-mail, telephone calls)
? Ensure the coordination and prioritization of the schedule and commitments for the CEO. Heavy calendar
? Organize travel arrangements, both domestic and international
? Communicate with members of the Board and other stakeholders on behalf of the CEO
? Act as liaison between CEO and staff to ensure appropriate coordination and follow-up on day-to-day issues
? Organize CEO Meetings, as required (in person planning, Webex, conference calls)
Senior Management and Team Support
? Provide coordination support to Zend Leadership Team
? Plan and organize staff meetings on behalf of the CEO and Leadership Team
? Plan and coordinate office events
? Support HR in local employee hiring, integration and termination. This includes scheduling interviews with the staff, communicate with candidates and arrange all the administrative activities for a smooth hiring/termination process
? Operational support to drive HR programs
? Work closely with the Marketing team to drive Zend Conferences and events. Includes shipping material and ordering promotional items
? Support Finance with signing off on invoices and reconciliation of monthly Amex statement. Along with submitting expenses for CEO and review/approve expenses for Leadership Team
? Greet guests, sign for packages, answer main phone line
? Manage office facilities, space and services
? Coordinate courier services to ensure best pricing options. Ship/mail packages, manage postage machine.
? Place orders for office, kitchen and food supplies. Stock kitchen, refrigerator
? Liaise with building management. First response for office emergencies
? Assist with the booking of meeting rooms, projectors, laptops and/or set up when necessary for internal and external meetings, as requested
Skills and Experience
? Bachelor?s degree or at least 5 years equivalent work experience
? Proficient with Microsoft Office Suite (Word, Excel, Powerpoint, Outlook). Experience with Gmail is a plus.
? Experience in interacting with all levels and departments within a company - domestic and international. Ability to navigate multiple time zones.
? Exceptional written and verbal communication skills; strong organizational skills, detail oriented, and the ability to handle multiple projects and prioritize appropriately.
