Executive Assistant to CFO MindBody Software
THIS JOB HAS EXPIRED The Executive Assistant coordinates, performs and supervises communication and administrative office duties in support of the CFO and his direct reports along with other duties as assigned. This individual will organize meetings, track and display department metrics, coordinate travel plans, and monitor day-to-day operations by fielding and following-up on communications directed to the CFO and as directed.

High ability to work independently and use appropriate discretionary judgment.
Superior communication, including both verbal and written.
Strong professionalism and an energetic positive attitude.
Excellent attention to detail, organization, time management and follow-up skills.
Driven self-starter, with a proactive approach to work. Handling emergent and unique issues without requiring specific direction.
Ability to interact with staff and clients in a fast paced environment, sometimes under pressure, while remaining flexible, calm, and efficient.
Flexibility to work hours outside of a standard workday; sometimes with very short notice.
Solid technology and Internet skills.
Typing: 40-60 WPM required.
EDUCATION AND EXPERIENCE
Bachelor?s Degree or equivalent professional related work experience.
5 plus years experience working in an administrative support role is required. (Two years MINDBODY internal experience in an administrative role, or other related internal experience, will substitute).
Strong understanding of Microsoft Office products.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Evaluate paper-based mail and voicemails to identify items requiring priority attention of the CFO.
Prioritize and facilitate communication between the CFO, the Accounting, FP&A and Logistics departments and third parties.
Communicate and plan with the CFO daily regarding: meetings, presentations and other priorities.
Take meeting minutes, and document follow-up items from meetings.
Perform complex administrative work that often requires a high level of confidentiality, discretion and judgment.
Gather data in order to prepare clear and concise reports and correspondence
Schedule travel arrangements for members of the Finance/Accounting department.
Assist with personal errands and appointments.
Organize regular reports and communications within the department and review with the CFO
Assist in departmental financial tracking and management
Track expenses and submit receipts to Finance/Accounting
Plan and coordinate events, celebrations
Coordinate remote employees' weekly visits to SLO office
The physical demands are representative of an employee to successfully perform the essential functions of the job. While performing the duties of this job, the individual is regularly required to walk and sit at a desk, stand for considerable periods of time, read and comprehend reason and analyze, use fine finger movements, and see, talk and hear.
