Role Specific: Executive Assistant/Office Assistant to Chief Revenue Officer
Due to Shazam?s continued growth we have an excellent opportunity for an exceptional Executive Assistant with outstanding skills to join our team in Palo Alto at this very exciting time.
This person will support the Chief Revenue Officer and assist the team in Palo Alto. This position will be responsible for heavy calendar management, travel (domestic and international), answering phones, and
keeping an overall agenda as well as being in charge of administrative aspects of the office. The ideal candidate needs to be extremely hardworking, bright, organized and able to multitask in a fast-paced environment.
Key Responsibilities:
Maintain busy calendars. Provide feedback internally and externally of changes in schedule and meetings throughout the day.
Screen calls and handle heavy internal email correspondence.
Coordinate domestic and international travel; prepare expense reports
Arrange and prepare meetings and conference calls.
Help preparing executive presentations.
Prepare internal requisitions & control sheets for vendor and consultant invoices.
Compiling tables and spreadsheets.
Submit items for signature (expense reports/invoices); copy & file invoices; forward them to appropriate department.
Track, monitor and update dept attendance for the team.
Update IT department floor/location chart and organizational chart along with employee
information on intranet site as needed.
Order and stock supplies as needed.
Maintain
pantry, mailroom, copy and conference rooms ? order paper/toner, keep tidy, etc.
Assist with office moves for new additions and new hires ? prepare cube/office, arrange phone, update internal directory and contact move team or carpenter as needed.
Handle a variety of situations involving the clerical and administrative support to the office.
Experience Required:
Hardworking, upbeat, energetic attitude; has the ability to multi-task and set priorities; is smart and able to work effectively with a diverse, multi-site, team.
At least 5 years of related administrative/secretarial experience within fast paced organisations.
Excellent knowledge of Word, Excel, PowerPoint and Outlook.
Worked across different time Zones.
Experience with Google Apps (a plus).
